Job Advert Summary




The Packaging and Inventory Administrator helps ensure packaging materials and workshop spares are well managed and available when needed. This role supports the Packhouse and Workshop teams by keeping accurate records, checking stock, working with suppliers, and helping with regular reports and updates. The focus is on keeping things organised, supporting daily operations, and making sure systems and stock records are up to date.

Minimum Requirements



Required Skills and Abilities:





Strong understanding of inventory control principles across operational and maintenance environments



Proficiency in Microsoft Excel, ERP systems, and reporting tools



Excellent organization, time management, and problem-solving skills



Strong attention to detail with the ability to reconcile data and physical stock



Effective communication and coordination with suppliers and internal teams



Ability to work independently and collaboratively across departments


Educational Experience:




Minimum:

Matric (Grade 12)


Preferred:

Diploma or certificate in Inventory Management, Logistics, Supply Chain or related field



2 Years experience in Admin/Cost control


Physical Requirements:





Ability to work in both office and operational environments (packhouse and workshop)



Must be physically able to conduct stock counts and handle materials

Duties and Responsibilities



Inventory Tracking and Stock Checks





Keep daily records of packaging and workshop stock



Do regular stock counts (daily, weekly, and monthly)



Assist with month-end stock take and make sure stock counts match system records



Help organise stock areas for easy access and correct tracking


Reporting and Submissions





Help prepare the Packaging Report, including usage and stock levels



Assist with Monthly Finance Report and make sure stock values are updated



Keep records of workshop spares used and link them to the correct job or cost area



Track stock going in and out, including high-use items



Make sure job cards and spares records match for audits and reporting



Create regular reports showing packaging and spares usage



Help ensure stock records in the system match physical stock and finance reports


Planning and Forecasting





Update a 3-month forecast for packaging and spares using past data and schedules



Join monthly planning meetings with other teams



Help with packaging monitoring and related reports


Buying and Supplier Communication





Work with the Buyer to create purchase orders for weekly needs



Send approved purchase orders to suppliers



Contact suppliers to check stock, pricing, delivery times, and any delays



Compare quotes to find possible savings



Follow up on orders and work with teams on delivery timing


Invoices and System Updates





Match invoices to goods received and purchase orders



Update stock in the system when stock moves or is used



Keep all records and paperwork for stock movements and purchases


Audit and Compliance Support





Prepare documents and stock records for audits



Follow inventory procedures and help others do the same



Make sure all stock-related work is documented clearly
