The Systems Coordinator plays a crucial role in supporting the agricultural operations of the organisation by ensuring that all internal systems, data processes, and reporting structures function efficiently and accurately. This role acts as the central link between farm operations, administration, and system development teams -- ensuring seamless integration between field activities, stock control, and digital management platforms.



The Systems Coordinator is responsible for coordinating system development, testing, and implementation; verifying job cards, stock usage, and WIP accuracy; managing user access controls; and developing standardised process flows and training materials. Through proactive system management and process optimisation, this position supports informed decision-making, enhances data integrity, and drives operational efficiency across all farming sites.

Minimum Requirements



Skills Required:




Strong understanding of ERP and other Management Systems. Highly proficient in advanced Excel functionalities such as Power Query, pivot tables, and complex excel formulas. Strong understanding of API integration between multiple systems. Ability to generate insightful reporting using data interpretation to provide actionable insights. Understanding of databases, data entry accuracy and integrity. Ability to design and extract live databases from the system. Ability to test, troubleshoot, and implement system upgrades or new modules. Ability to document and streamline workflows, create standard operating procedures, and ensure adherence. Ability to spot inconsistencies, reconcile data, and maintain high data integrity. Analytical Mindset to identify inefficiencies and implement process improvements. Organise and prioritise multiple tasks across sites to meet deadlines efficiently. Clear verbal and written communication skills for both technical and non-technical staff. Attention to detail to ensure accuracy in reporting, stock verification, and system data. Adaptability to changing technologies and processes.



Qualifications:




Education




BCom Management / Business Administration BSc/ Bcom Information Systems / Computer Science Business Analyst Bachelors/ Diploma in Systems related field Bachelors/ Diploma in Project management

Work Experience





2-3 years' experience in roles such as:


Business administrator, Systems controller, Business Analyst. Systems Support, IT coordination, or database management Inventory/ stock controller

Duties and Responsibilities




System Development, Testing & Implementation




Scope and coordinate new system requirements from concept to implementation. Oversee integrations between multiple systems, ensuring accurate data validation, API functionality, and smooth data flow. Translate operational needs into clear technical specifications and manage all stages of project delivery -- stakeholder engagement, cost planning, testing, and reporting. Ensure developments align with workflows and maintain system integrity. Facilitate UAT, documentation, and change control for new releases. Bridge communication between technical teams and users, ensuring practical, efficient, and sustainable solutions. Manage implementation and post-launch support for all system updates.


Report Development & Vetting





Develop and maintain automated reports and dashboards using Power BI and advanced Excel. Validate data across systems and design functional, accurate reports aligned with operational needs. Implement exception reporting to identify anomalies and risks. Collaborate with stakeholders to ensure reports remain relevant and aligned with system updates.


Process Flows, SOPs & Training





Design clear process flows outlining system interactions and decision points. Develop and maintain comprehensive SOPs to standardize procedures across departments. Deliver system and workflow training to employees, ensuring materials are current with new developments. Promote consistent adoption of standard processes to enhance efficiency and accuracy.


User Access & Permissions





Administer and monitor access controls for systems including SharePoint and Multicat Agri. Ensure permissions align with job roles and conduct regular audits to maintain compliance and security. Coordinate access changes and approvals with IT and managers, maintaining accurate records of all access activities.


Continuous System Optimization





Review systems and workflows regularly to identify inefficiencies, gaps, or risks. Conduct integrity checks and recommend improvements to enhance automation, accuracy, and usability. Introduce controls to prevent duplication or misuse of data. Coordinate maintenance schedules and collaborate with users and developers to streamline processes while safeguarding data integrity. Use system data to track trends and identify recurring issues for targeted improvement.


System Support & Queries





Serve as the primary point of contact for system queries and support. Liaise with system owners, developers, and IT teams to resolve issues promptly. Provide clear, user-friendly communication and guidance to improve user confidence. Track recurring issues to identify areas needing additional training or system refinement.


Administration & Ad Hoc Tasks





Perform administrative functions related to system documentation, reporting, and data management. Support data cleanup, version control, and archiving to ensure accuracy. Assist with ad hoc projects involving data analysis, process mapping, and report development. Maintain organized records of all system-related activities and updates.
