Position Title & Overview

This position will manage and lead a team of people in allocating workload and managing the day-to-day operations in the workshop under the direction of the Operations Superintendent or Operations Manager. It requires the job holder to co-ordinate resources and liaise with internal and external key contacts to ensure work is delivered on time and to a quality standard. This individual requires an extremely perceptive person who can relate to individuals at all levels within the organization. The Workshop Manager must be sensitive to corporate needs, employee goodwill and the business needs

Additional Responsibilities:

  • Managing a job card system for job allocation and job flow in the workshop including job scheduling and labour allocation for day-to-day operations. Overall job card system management.
  • Co-ordinate resources, (operational and human) schedules and activities to effectively manage workshop tasks and jobs.
  • Ensure supplies are ordered for each shop job and site project per approved load list.
  • Assist with quoting, project supervision, materials purchasing and quality checks.
  • Ensure correct cost codes or job numbers are used and that time records are correct.
  • Manage inward goods, checking quantities, dispatching goods and receipting invoices
  • Manage inventory and ensure reporting is done on a regular basis.
  • Regularly report progress on each task or job and timeously communicate delays or concerns with Operations Management team.
  • Report on manpower overruns or shortfalls.
  • Act as a technical adviser on key projects and other areas of the business as requested.
  • Work with the Operations Management team to respond to client's requests for updates on the status of their jobs and keep the communication channels open to ensure information is accurate.
  • Work with Operations Management team to investigate customer complaints and concerns arising from products and suggest appropriate solutions. Discuss with team to identify appropriate course of action.
  • Adhere to implemented systems to record, file and store information pertaining to client enquiries.
  • Coordinate with Operations Management team to Identify staff that require on-going training and implement training opportunities to ensure their skills are improved. Work with junior and semi-skilled staff to role model appropriate technical skills.
  • In accordance with IGS practices, provide feedback to staff that are not performing to the expected level and ensure human resources are informed of trends in performance.
  • Promote a Health and Safety culture within the business.
  • Participates in other projects as directed.
  • Manage current IGS fleet, fleet cards and vehicle licensing updates.
  • Time keeping for all workshop related resources on ADP.
  • Manage times for all personnel reporting for work at the workshop and reporting to this manager at any given time.
  • Ensure facilities maintenance program is in place and tasks are performed as required.
Contacts:
  • Frequent contact with employees and managers at all levels of the company - daily reporting of workshop activities, materials quantities and equipment conditions/maintenance.
  • Frequent contact with outside vendors and service providers - Supplier management with specific emphasis on BBBEE preferential procurement
Education, Knowledge, Skills and Abilities:
  • Problem solving and trouble shooting.
  • Hands-on approach.
  • Excellent verbal and written communication skills
  • Both collaborative teamwork skills and self-starter
  • Project management skills to coordinate, organize, plan, and execute complex industrial projects
  • Effective communication and interpersonal skills to supervise people and coordinate with others within and outside of the company
  • High level of self-sufficiency and initiative
  • Good situational leadership awareness and understanding of when any given situation calls for a directive or a supportive posture
  • Willing to lead and or follow in a Team Based environment
