As the Workshop Assistant / Stock Controller at Chicano's Customs, your primary responsibility is to ensure the efficient running of the workshop through meticulous stock control, inventory management, and administrative support. You will assist the Workshop Manager with overseeing workshop operations while managing the flow, procurement, and usage of parts and consumables. Strong attention to detail, organizational skills, and a proactive approach are essential to minimize wastage, track usage, and optimize costs.
Key Responsibilities:Stock Control & Inventory Management (Primary Focus):
Track and manage all incoming and outgoing stock, including consumables, parts, and customer-specific items.
Sign out stock to staff and document usage to ensure accountability.
Conduct regular stock takes and audits to ensure accurate inventory levels.
Compare supplier prices and ensure parts are purchased at the best value (including second-hand options when viable).
Implement a priority-based ordering system (P1 - Urgent, P2 - Next Week, P3 - Month End) aligned with customer job schedules.
Ensure timely and cost-effective purchases, avoiding production delays and overstocking.
Label, box, and store stripped vehicle parts with corresponding records for easy retrieval.
Maintain records of stock movement and wastage, identifying areas to improve efficiency and reduce loss.
Ensure all purchases have supporting invoices and are allocated to the correct vehicle and department.
Handle documentation for returns, including photographs where necessary.
Plan driver routes and schedules efficiently to reduce fuel costs during parts collection.
Workshop Support & Administration:
Assist the Workshop Manager in the daily coordination of workshop operations.
Maintain and update job cards, progress reports, and staff-related documentation.
Organize and manage client documents, ensuring accurate job card signing before and after work is done.
Ensure clean, organized, and efficient workspace practices are maintained in all storage and work areas.
Client & Internal Communication:
Provide clients with vehicle updates and clarify queries regarding parts or job statuses.
Ensure any customer concerns are promptly relayed to the Workshop Manager.
Communicate stock or parts delays to relevant team members to manage expectations and timelines.
Staff Coordination & Meeting Duties:
Assist with recording staff attendance, contracts, and performance files.
Schedule meetings, take minutes, and ensure follow-ups are actioned.
Enforce workshop safety policies and assist with secure lock-up procedures.
