Perform a variety of clerical and administrative duties that are necessary to run an organization efficiently. Create spreadsheets, manage databases, and prepare presentations, reports, and documents.
Duties and responsibilities:
Report all the admin, archives, and filling to the finance director
Organise all company meetings such as AGMs
Preform secretarial duties for all departments, draft meeting agendas and record minutes
Attend and service meetings as requested, including producing related documentation agendas and minutes and following up actions where appropriate.
Effectively provide administration to projects ensuring deadlines are managed and positive working relationships are built with partner organisations.
Along with the Finance Manager, develop and implement efficient administration systems and solutions to manage information.
Deputise for all admin duties in the absence of the finance and admin manager.
Administration of any transactions, ensuring prompt authorisation and submission for payment from the finance manager
Along with executive managers plan and arrange conferences, including choosing and booking venues, booking, and paying for equipment, hospitality and other incidentals, sending out invites, recording attendees, and attending the event.
Document and file all administrations of the company
Document and file all updated records for the registrations with the relevant entities such as the CIPC and the Department of Social Development.
Ensure the smooth running of the administration office under the guidance of the Finance manager.
You are the communication manager within the organisation (Internal communication)
Document and number every announcement and communiques
Ensure that compliance is met in all matters, including human resources and finance.
Maintaining an up-to-date knowledge of all relevant policies and procedures.
Organise all documentation needed for internal audits and prepare them for the finance team.
Process payments as authorised by the accounting officer or the finance director

Pay: R1,00 - R2,00 per month
