Role Description
We are seeking a detail-oriented and proactive Trainee Project Management Administrator to support our project management team in planning, executing, and finalizing projects according to deadlines. The ideal candidate will assist in administrative and coordination tasks, ensuring that projects are well-organized and run smoothly.
This is a remote position; however, candidates must be based within the Cape Town, South Africa area for occasional in-person meetings or team collaboration.
Key Responsibilities
Assist with resource planning, task tracking, and issue management.
Attend meetings, prepare agendas, and record meeting minutes.
Help ensure adherence to project management standards and methodologies.
Maintain and update project documentation, schedules, and reports.
Manage communication with stakeholders and team members.
Monitor project timelines and alert the team to potential delays or issues.
Provide administrative support to Project Managers and team leads.
Support the preparation of project presentations and status reports.
Requirements
Qualifications
: NQF 5 or higher in Project Management, or a related field
Experience
: Relevant experience and knowledge in project coordination or administration
Language Proficiency
: Native or fluent English speaker with a neutral, clear accent.
Essential Soft Skills
: Organisational Skills, Communication Skills, Interpersonal Skills, Attention to Detail, Problem-Solving, Adaptability, Discretion & Confidentiality, Proactivity, Ability to work independently and remotely
Technical Skills
: Familiarity with cloud-based software.
Software Expertise
: Competent in Microsoft Office Suite and familiar with Project Management software (e.g. Zoho, MS Project, Asana, ClickUp, or similar)
Equipment
: Own laptop / PC (with HD camera), headset, reliable high-speed internet connection (minimum 25Mbps download / 25Mbps upload), UPS / Backup generator
Environment
: Workspace with privacy and minimal noise.
Shift Time
: Must be available to work from 2:00 PM - 11:00 PM (GMT+2).
Career Path
If not obtained already, this role offers the opportunity to develop the Project Management Administrator role with the goal of obtaining the PM.Admin professional designation from Project Management South Africa (PMSA).
