Job Title: Tender and Contract Co-Ordinator
Job Grade: Paterson C3 - C4 (based on responsibilities and experience)

Job Purpose:
To coordinate the preparation, submission, and administration of tender documents and contract annual price adjustments/ pricing maintenance .
This role ensures that all tender and contract processes are accurately followed, compliant with internal and external standards, and submitted within deadlines.
The Co-Ordinator supports cross-functional collaboration, ensures document control, and maintains key records for future audits and analysis.
Key Responsibilities:
Manage the full tender process from advertisement tracking to final submission.
Compile and prepare tender documents including technical, legal, and financial components for presentation to the managing member for final review
Coordinate internal stakeholders (procurement, finance, operations, legal) to gather required input.
Ensure all tender responses are compliant with client requirements and meet submission deadlines.
Maintain a centralised tender and contracts database, including version control and expiry dates.
Assist in the negotiation and administration of contracts, addendums, and service level agreements.
Ensure that all company documents (e.g., BBBEE certificates, CSD profiles, Tax clearance) are current and available.
Coordinate supplier/vendor registration on client systems (e.g., CSD, SAP Ariba, Coupa).
Monitor timelines and renewal dates for existing contracts and alert relevant teams.
Provide post-tender feedback support and track awarded outcomes.
Maintain accurate and confidential filing of tender and contract documentation.
Prepare data for review on current contract price adjustments
Maintain cost pricing information for current contracts

Required Skills & Competencies:
Excellent communication and coordination skills
Strong attention to detail and deadline orientation
Knowledge of South African tender platforms (e.g., eTenders, CSD)
Understanding of supply chain or procurement principles
Strong document control and organisational skills
Proficiency in MS Office (Word, Excel, Outlook); knowledge of tender portals is an advantage

Qualifications & Experience:
Grade 12 (Matric) minimum
Diploma or Certificate in Procurement, Supply Chain, Business Admin or related field (advantageous)
3-5 years experience in tender coordination, procurement admin or similar role with proof of understanding of Seifsa Indices and past tender experience
Exposure to public and private sector tender environments is beneficial
Must be fluent in Afrikaans and English
Job Types: Full-time, Permanent
Pay: R25000,00 - R30000,00 per month
