Managing the day-to-day HR administrative tasks that support the overall Human Resources (HR) function within the organisation, ensuring smooth operations and efficient processes.
Your Key Responsibilities will Include:
Efficient and accurate capturing of the engagement process:
Capture and load new employees in line with department procedures. Advise regional teams of completion and outstanding information in the capturing process.
Efficient and accurate capturing of all staff movements:
Capture all employee changes (e.g., promotions, transfers) in line with department procedures. Advise regional teams of completion and outstanding information in capturing process.
Efficient and accurate capturing of the termination process:
Capture terminations in line with department procedures. Finalize exit termination process and audit checklist.
Timely and accurate reporting and compliance audit/reporting, including Employee Benefits:
Compile monthly reporting and management information. PSIRA reconciliation and reporting; Retirement Fund claims and outstanding information reporting and Retirement Fund reconciliation.
Administrative Support and Reports:
Prepare Movements and Requisitions for approval. Prepare Offer Letters, Contracts, Restraints, and other documents. Open files for new employees. Capture leave forms. Medical aid applications and maintenance. Pension Fund withdrawals and monthly schedules. Monitor Headcount versus approved budget. Prepare monthly reports on payroll data as requested. Prepare Increase and Bonus schedules. Fuel Schedule preparation and submission to payroll. UIF Declarations. Long Service Certificates. Statistics SA Quarterly report.
Administer Key Employee Benefits:
PSIRA administration; Pension Fund; Medical aid; Funeral Scheme and Disability benefits. COID (IOD).
Company Policy & Procedure Compliance:
Monitor and audit compliance on a Regional basis to company policy and procedures. Identify areas of concern, deficiency, and implement change procedures.
Team management and Development:
Oversee and supervise the team to ensure that work is of a high quality and delivered timeously. Ensure overall compliance of employees to administrative and payroll policies and procedures. Conduct performance reviews to assess objective and ensure that development plans are completed for each employee. Continuous support, coaching, and mentoring provided to ensure that objectives are met. Ensure succession plans are in place to meet anticipated business requirements.

Grade 12
Working experience with Sage 300 People Software
3-5 Years experience in HR & Benefits Administration
Minimum of 2 years experience in a supervisory role
* Knowledge of recruitment and payroll processes within HR
