Our client in the IT is looking for a Supply Chain Coordinator/Administrator to join their team!!!

Overall Responsibility:
Responsible for supporting the efficient and effective operation of the supply chain. This position involves a blend of administrative tasks, meticulous data management, proactive communication, and hands-on coordination to ensure the timely procurement, optimized inventory management, and reliable delivery of goods. Collaboratively with various internal departments, including procurement, logistics, sales, and
warehousing, as well as external suppliers and service providers, to streamline supply chain processes, enhance efficiency, and contribute to overall business objectives.
Key Responsibilities:
Procurement and Supply Coordination

  • Assist in sourcing suppliers and obtaining quotations.
  • Place and follow up on purchase orders in line with company procurement policies
  • Track order status, delivery dates, and resolve any delays or discrepancies.
  • Maintain accurate and up-to-date supplier records.
  • Communicate with suppliers to confirm lead times, delivery schedules, and resolve issues
  • Maintain supplier records and assist in performance monitoring
  • Source new suppliers or alternative products as directed by the procurement team
Inventory Coordination
  • Monitor stock levels and help plan inventory replenishment.
  • Coordinate stock movements between warehouses, production, and dispatch teams.
  • Assist with inventory reconciliations, audits, and cycle counts.
  • Coordinate delivery schedules and ensure goods are received on time.
  • Identify potential inventory shortages or excess and escalate when needed.
Logistics and Transport
  • Personally operate company Code 8 (B) and Code 10 (C1) vehicles for collections, deliveries, and inter-branch transfers across Gauteng, and other national destinations as required by operational needs.
  • Plan, prepare for, and execute extensive travel itineraries, including multi-day journeys and overnight stays, ensuring efficient routing, compliance with road regulations, and timely arrivals
  • Liaise effectively with external logistics providers, freight forwarders, and couriers to schedule collections, deliveries, and optimize transport solutions for shipments not personally driven.
  • Proactively track the status of all inbound and outbound shipments (both personally driven and third-party), ensuring on-time delivery of goods and providing timely updates to relevant stakeholders.
  • Prepare, verify, and manage all necessary shipping and transport documentation, including but not limited to delivery notes, waybills, commercial invoices, and customs declarations (where applicable).
  • Coordinate the efficient handling of product returns, processing of damaged goods claims, and resolution of various transport-related issues with both internal teams and external parties.
Process, Admin and Reporting
  • Assist with supplier onboarding and keep vendor files current.
  • Provide general administrative support to the supply chain department, including managing correspondence, scheduling meetings, and preparing presentations.
  • Assist in improving supply chain workflows and cost-efficiency
  • Support compliance with company procurement and inventory procedures.
  • Ensure all supply chain documentation, including contracts, invoices, delivery proofs, and permits, are accurately filed and readily accessible for audit or review
  • Analyse data for supply chain improvements or bottlenecks.
Minimum Education and/or Work Experience and Other Requirements:
  • Qualification: Matrix or Diploma or Certificate in Supply Chain Management, Logistics, or Business Administration
  • Experience: 2-3 years years of experience in a supply chain, logistics, procurement, or administrative role.
  • Knowledge: Proficiency in Microsoft Office Suite (Excel, Word, Outlook) is essential.
  • Knowledge: Familiarity with inventory management principles
  • Knowledge: Basic understanding of logistics and shipping processes
  • Travel: Valid South African driver's license for Code 8 (B) and Code 10 (C1) vehicles is essential. Proven ability and willingness to undertake extensive local and national travel, including regular overnight stays, as dictated by operational needs. Clean driving record.
