Reporting to the General Manager, the successful candidate will be responsible for Customer Service administrative duties. Importantly, part of the candidate's responsibility will be liaising with customers in an often-high-pressure environment. The person applying for this position should have a professional manner, excellent communication skills, be friendly, energetic and the ability to multitask is imperative.
The successful candidate must have

Minimum qualification: Grade 12
5 - 10 Years experience (Customer service, inventory, administrative duties and logistics)
Tertiary qualification (office administration or similar) - would be an advantage
Ability to work well under pressure and respond quickly to multiple and varied customer requests
Computer Literacy - MS Excel is a key competency requirement (Previous experience in software programmes such as Pastel, Sage and MS Access)
Strong Administrative skills: Organised, methodical and attentive to detail
Languages: Afrikaans (Most customers are Afrikaans) and English
Primary tasks include
:
Sales and Distribution
Receiving and processing of orders (via phone or e-mail).
Liaise with customers and production manager
Create sales order on E1 (software system)
Create works orders for production to produce labels. Communicate with other customer service administrator regarding stock levels for production.
Liaise with stores clerk, providing delivery instructions
Send out daily invoices
Artwork for new labels
Complete customer questionnaires.
Answer e-mails when DN, POD and invoices are requested
Logistics
Primary contact person with courier companies - following up on delivery notes & queries (own areas)
Assist with label picking, compiling waybills and organising for collection - in the absence of stores clerk.
Tracking multiple and complex shipments
General Administration
Standing in for other customer service administrator
Vehicle administration (tracking monthly fuel, service and other vehicle expenses) Inform Technical Manager of available budget for each technician with monthly reporting to the General Manager
Complete CIF forms
Send credit application forms to customers
Complete customer questionnaires.
Provide documents such as BRC certificate and spec sheets to customer.
General secretarial/clerical duties: Routine correspondence, switchboard duties, filing
