Job Description

The Role




The Logistics Administrator provides operational and administrative support to the company's fleet and transport logistics. This includes coordinating vehicle bookings, scheduling drivers, ensuring fleet roadworthiness, maintaining compliance with licensing and insurance requirements, and liaising with external service providers such as maintenance, tracking and insurance partners. The role also acts as backup driver when the Shuttle Driver is unavailable and supports logistics-related processes to ensure smooth day-to-day operations across all Seriti Green sites and offices.

Key responsibilities include:




Fleet and Vehicle Administration

Maintain accurate and up-to-date records of all company vehicles, including registration, licence renewals, and insurance documentation. Monitor and track all vehicle licences, roadworthy certificates, and fleet compliance requirements. Ensure every vehicle contains the necessary and functioning equipment (e.g., fire extinguisher, first-aid kit, warning triangle, reflective vest, etc.). Conduct frequent vehicle inspections and coordinate servicing and maintenance with approved service providers. Work with Finance to confirm that all vehicles are insured, claims are processed, and premiums are up to date. Serve as the primary contact for vehicle tracking and monitoring systems, ensuring proper functionality, tag activation, and e-tag management. Maintain the fleet registry and generate regular status reports on usage, maintenance, and compliance. Will need to drive a vehicle, on a backup basis.

Transport Coordination and Scheduling



Manage vehicle booking registries and allocate vehicles according to business requirements. Assign daily and weekly tasks to the Shuttle Driver, ensuring efficient route planning and time utilisation. Verify that all employees booking vehicles hold a valid driver's licence and are authorised to operate company vehicles. Coordinate logistics for employee, visitor, and stakeholder transport to and from project sites, airports, and meetings. Monitor travel logs, fuel usage, and kilometre records for accuracy and budget tracking.

Compliance & Safety



Ensure all vehicles and drivers adhere to Seriti Green's Journey Management and Health and Safety policies. Keep up to date with South African road regulations, company vehicle policies, and safety compliance requirements. Report incidents, accidents, or maintenance issues promptly to the HR Manager and/or relevant line manager. Ensure proper documentation and filing for all compliance and safety checks. Maintain confidentiality and discretion when handling information related to personnel and company transport operations.

Administrative Coordination



Maintain organised filing systems (digital and hard copy) for all fleet and logistics documentation. Liaise with service providers for maintenance, repairs, tracking devices, and toll or tag-related queries. Assist with procurement-related logistics and deliveries as needed. Prepare and submit periodic fleet utilisation, cost, and maintenance reports to management. Support the HR and Operations teams in logistical planning for events, site visits, and training transport. Act as backup driver when the Shuttle Driver is on leave or unavailable due to operational requirements.

Professional Conduct & Communication



Interact courteously and professionally with all passengers and clients. Communicate clearly regarding travel schedules, delays, or changes in route. Maintain discretion and confidentiality when transporting company stakeholders or handling goods.

Education & Experience



Minimum: Grade 12 (Matric). Preferred: Diploma or certificate in Logistics, Fleet Management, Administration, or a related field. Experience: 3-5 years of administrative experience in logistics, fleet management, or operations. Knowledge of road safety, vehicle maintenance, and compliance documentation. Valid South African Code 8 (EB) driver's licence. Professional Driving Permit (PDP) is advantageous. Familiarity with fleet recordkeeping, logbooks, and journey management protocols.
