SHEQ Coordinator - Position
Status: Permanent
Job Summary:
IMPLEMENT & MAINTAIN SAFETY, HEALTH, ENVIRONMENTAL AND QUALITY SYSTEMS TO ENSURE THE COMPANY'S COMPLIANCE TO ALL RELEVANT SHEQ LEGISLATION APPROPRIATE TO OPERATION MANAGEMENT AND CLIENT REQUIREMENTS.
Specific Outcomes:
1. Responsibilities
a) Implement and maintain a safety system in accordance with ISO 9001, 14001 and 45001 Management System requirements.
b) Liaise with staff, clients and suppliers in all areas concerned with SHEQ.
c) Assume responsibility for SHEQ for all Operations in the Cape area.
d) Communicate with the Operational teams the SHEQ requirements needed to be implemented and maintained on the sites and by suppliers/subcontractors.
e) Ensure suppliers/subcontractors perform their tasks according to client/XXXX SHEQ requirements and report all deviations to ensure corrective actions are implemented.
f) Become informed of the client's SHE requirements and implement as necessary.
g) Implement and maintain the requirements of the Occupational Health & Safety Act 85 of 1993.
h) Responsible for the SHE requirements of all buildings, grounds and security related to the allocated sites.
2. Authority
a) Ensure the SHEQ System is implemented by all levels of staff and that any deficiencies identified are reported to ensure continued effectiveness of the SHEQ systems at offices, operational sites as well as manufacturing facilities.
b) Identify and correct any deficiencies in the SHEQ System and monitor its effectiveness in the light of changing technologies and to regulation changes.
c) Ensure that the Occupational Health & Safety Act 85 of 1993 and all relevant Regulations are adhered to.
3. Duties
3.1 General
a) Control all aspects of the XXXX SHEQ Management Systems under your responsibility.
b) Assist in the development, implementation, and management of all SHEQ related documentation as per the latest ISO 45001, 14001 and 9001 standard Requirements.
c) Provide SHEQ awareness training to all staff and contractors.
d) Assist Operational Team members in resolving SHEQ non-conformances and disputes.
e) Prepare SHEQ statistics and reports at required intervals. Including the management for SHEQ related flash reports for sites and security issues.
f) Plan, schedule and execute monthly internal SHEQ audits and checks on contractors and other internal BU's and departments.
g) Ensure that suppliers and subcontractors adhere to all SHEQ requirements and provide additional supplier support when requested by the Departmental Manager.
h) Manage the procurement of services or supplies required for the SHEQ department or function (PPE, consumables, medicals, hygiene assessments...).
i) Review and evaluate SHEQ performance (Internal, site and Suppliers) and initiate corrective action.
j) Support Tender Department with any relevant SHEQ documentation requirements.
k) Perform any other duties required by your designated manager.
l) Perform the function of Security Liaison Officer between XXXX and local security companies. Including the management of flash reports and supporting documentation.
3.2 Occupational Health and Safety
a) Control all site safety programmes.
b) Convene and chair all safety meetings.
c) Co-ordinate investigations into accidents or incidents that have occurred on site.
d) Ensure that adequate fire-fighting and first aid equipment is available and personnel are trained. Coordinate fire and emergency drills.
e) Ensure all hygiene assessments are carried out for required sites.
f) Communicate the company vision and channel people's energies towards the achievement of that vision.
g) Maintain Safety Precautions and sound housekeeping principles and due care of all equipment/assets under your control. Including the deep cleaning of hygiene facilities, bi-annually.
h) Maintain the SHEQ training matrix for all sites including the sourcing of quotes for the HR team.
i) Prepare and conduct SHE Induction Presentations for all employees, visitors and contractors.
j) Manage the existing online documentation system for all contractors.
k) On call 24 hours to respond to an l) Ensure all occupational medicals, vaccinations and other required hygiene monitoring is done as per schedule.
m) Ensure adequate case management of all occupational injuries on duty, including reporting to SHEQ Management immediately.
n) Assume responsibility for Company Dashboard and Incident Management Registers.
3.3 Environmental
a) Ensure all required ISO 14001 documentation is available on sites and records maintained on the system.
b) Report and investigate all environmental incidents as per legal and corporate requirements.
c) Coordinate the management of the various waste streams on site where required.
d) Document all environmental aspects and impacts on site and coordinate the management of environmental risks.
3.4 Quality
a) Assume responsibility for all control of documentation within the company (XXXX Services Southern Africa), and provide support to all divisions. This includes maintaining system folders as per the standard requirements.
b) Assume responsibility as Master Document Controller for the Company as a whole, including the management of all company archives as per corporate and compliance requirements.
c) Assume responsibility for the Master SHEQ NCR registers including the coordination and reporting on NCR / CAR corrective actions and closing reports. y incidents or accidents
d) Assume responsibility for all Supplier evaluations and audits - control of records and management of findings.
4. Critical Cross Field Outcomes:
a) Perform all duties to the latest ISO 9001, 14001 and 45001 Management System Requirement.
b) Function as part of a Team.
c) Ensure total confidentiality of all information, internal and external, pertaining to the business of XXXX Services Southern Africa (Pty) Ltd., all its Employees and Management.
Required Competence and/or Qualifications:
a) Grade 12 or assessed equivalent competence.
b) Three to five years' experience in a similar environment.
c) Computer skills - in the google workspace tools and experience in the cloud.
d) SAMTRAC or equivalent
e) HIRA
f) First Aid Level 1
g) Incident / Accident investigations
Range Statements:
You will be required to perform your duties at the Overstrand, Hermanus office of XXXX Services Southern Africa (Pty) Ltd. You will also be required to provide support at various XXXX operated sites
