Job Description


A leading manufacturer of automotive components company is looking for a SHE Coordinator with Grade 12 (Higher grade, maths and science) and/or N5 qualifications with 2 to 4 years SHE Management Systems experience.

Duties & Responsibilities:

Incidents & Accidents - Control issue, numbering and logging of incident reports; liaise with Sister re injuries; attend investigations when required; Raise opportunity for Improvements for overdue reports and corrective action; attend to call outs for incidents during hours

Reporting to Dept. Fisheries Forestry and Environmental for acid spills.

Liaising with stakeholders and neighbours on all environmental air emissions.

Monthly SHE Stats - Update LTIFR, Green Cross Board, Injury Statistics, Hoshin Kanri and Metair Report from various reports received from Medical Centre, incident files, Salaries Department and Wages Department; update database; send Green Cross Board details and Injury Statistics out to Mini Business Boards. Update certificates at Security Reception Area, Notice Board next to SHE Office and Training Centre

Report of weekly stats - Every Tuesday morning in Ops meeting

SHE Committee - Schedule meetings for each month; Enter meeting dates in attendees' calendars; Send out agenda before each meeting (print hard copies for SHE Reps without email); conduct monthly meeting; complete minutes after meeting and send out (print hard copies for SHE Reps without email).

SHE Reps - Ensure we have enough SHE Reps in all departments and on all shifts. Advise HR Department when we have new SHE Reps for training (SHE Reps Course and Incident Investigation). Liaise with SHE Reps re problems. Check and sign off books monthly. Carry out internal awareness training once they have had their external training. Once a month accompany a SHE Rep to do his inspection. Prepare inspection books annually; Ensure list of SHE Reps is updated and sent to Notice Boards and Ops meeting; ensure appointment letters are kept up to date.

Induction - Co-ordinate and present all induction sessions; liaise with contractors / HR Department / Trainer; Process paperwork after induction; update database. Annual Refresher with Staff

COVID Training with staff and contractors. Maintaining registers of all training. Filing daily screening checklist

VIRUS Control lead for Benoni

Contractor Control - Ensure all contractors comply with all requirements; ensure contractors all receive safety induction / refresher training; check safety files on a regular basis according to the safety file checklist ; carry out checks on contractors whilst they are on site; archive old contractor documentation (those that we will not use again); all contractors' paperwork to be checked and brought up to date. Arrange safety induction once safety file is approved.

Compile safety files for Marketing and Industrial building

Risk Assessments/Aspects and Impacts - Ensure that departmental managers are conducting annual risk assessments/aspects and impacts annually and uploaded on intranet. Contractors to do baseline risk assessments, activity-based HIRAs and aspects and impacts for each project. Do random control checks and ensure that all risk assessments are recorded on the system.

Answering email queries.

Lead in Air Monitoring - Liaise with Laboratory to draw up annual monitoring programme; receive monitoring results and create graphs to show trends; order supplies; ensure pumps are sent for calibration when required. Audit change rooms twice per year

Permit Register - Ensure all items on permit register are renewed / obtained and update register regularly. All licences and permits must be valid.

Security - Liaise with Security on various matters; raise orders for their requirements; ensure their staff receive induction (high turnover) and blood samples taken (by Sister).

Purchasing - Raise orders on JDE for various supplies and services; process invoices.

PPE - Ensure supply of dust masks/hazard tape etc; liaise with suppliers and Purchasing Department on requirements; check Corner Shop weekly to ensure sufficient supply of dust masks.

Appointment Letters - Ensure all appointment letters are kept up to date - update lists with info from HR, type letters, get them signed, attach relevant sections of OHSAct, distribute, follow up to get them back, file, update records.

Occupational Hygiene - Ensure surveys are carried out when required (occupational hygiene, MHI etc); Draw up action plan from report and follow up.

Emergency Procedures - Review and update emergency procedures annually by holding regular meetings with Heads of Departments and receiving input from them and from sources such as ISO14001/45001 audits, risk audits etc; update emergency escape routes for all sections (not just departments), print, laminate and ensure that they are placed in each section; ensure training is done on escape routes; plan, organise and co-ordinate evacuation drills every quarter, including updating list of staff to ensure everyone is checked off the lists; compile report after each drill; update emergency procedure poster, evacuation procedure poster, after hours procedure poster and codes of conduct, update list of SHE Reps, First Aiders and Fire Wardens - print and laminate all for whole plant and distribute.

Fire drills/mock drills are carried out regularly.

Budget - Assist the National OHS Manager to prepare the department budget annually including Medical Centre, Cleaning, Fire Equipment, Lead in Air Monitoring equipment, Cost of Surveys, Licenses etc.

Safety Talks & Posters - Send out regular safety talks, safety posters to Mini Businesses and inland branches.

Mini Business Audits - Conduct mini business audits quarterly.

Annual Induction Refresher - Update database when annual refresher has been done. Trainer to send paperwork to SHE Co-ordinator who will send it to HR when update done.

Customer and Tender Info - Assist Marketing Dept if required to complete all documentation required for customer and tender information.

Suggestions Scheme - Attend Suggestions meeting monthly; Attend suggestions presentation quarterly.

External Audits - Assist with ISO14001/45001 audits; assist with Metair Risk Audit; assist National OHS Manager with Action Plan for each audit.

Internal Audits - Assist in internal ISO14001/ISO45001 audits for all departments. Draw up action plans and issue to HODs.

Conduct annual internal waste audits with FNB waste officer and submit Annexure ii docs.

Arrange external waste audit every 22 months with Waste Auditor. B Hambrecht.

Lifting equipment inspection

SHE Legal - Assist and ensure all legal requirements are met with regard to air emissions, waste license, MHI requirements etc, and reporting of information on same. Update permit register and log onto Electronic Legal Register every week for legal updates and share with team

Training - Identify training needs for any external training required (SHE Reps, Fire Wardens, and Incident Investigators) and ensure training needs analysis is sent to HR; Carry out any required safety, health and environmental training; carry out topical training and presentations. when required in the Mini Business meetings and in the training room.

Lockers Do full recon of lockers - and if he becomes permanent, to continue to control locker allocations. Ordering and issuing of new locks.

Plant Inspections - Carry out weekly plant and Smelter inspections; draw up reports and raise Opportunity for improvement where required

Attend weekly Plant Walks

Lead Awareness - Conduct lead awareness and/or counselling for employees with high blood leads.

Chairing Blood lead monthly meetings with committee

Rolling programmes to reduce high blood leads.

Monitor blood leads in the company by implementing controls and set up meetings

Cleaners - Liaise daily with Purchasing coordinator for Red alert cleaners .

Fire Equipment - Ensure fire equipment is maintained and serviced; raise orders and process invoices; order new equipment when required. Organise and raise orders to have pump and valves serviced when they are due. Ensure checks are being done on pump for the sprinkler system, the portable petrol pumps for fire fighting, and the fire detection system. Check if all fire equipment is inspected and checked monthly - fire hoses every 6 months. Check if stickers are checked with correct month written for that specific month.

Signage - Co-ordinate safety signage for whole plant - draw up requirements, get quotation, place order, process invoices, distribute signs, raise job cards for Maintenance.

Fire Team - Continually update to ensure we have enough fire wardens to cover all shifts; ensure fire wardens are nominated, appointed and trained; organise internal orientation sessions for them with Industrial Engineer.

Annual Smelter Report - Compile and submit Annual Smelter Report.

Hydrant Checks - Checks are done by service provider Compile report from photos submitted by these SHE Reps.

Education & Experience

It is essential that the incumbent has Grade 12 (Higher grade, maths and science) and/or N5 qualifications with 2 to 4 years SHE Management Systems experience. However it is desirable that he/she has 4 to 10 years related experience.

The following qualifications and experience are required to perform the job successfully.

  • Formal Internal Auditor training in establishing, implementing, maintaining and auditing Health, Safety and Environmental Management Systems such as ISO14001-2015 and ISO45001-2018 including knowledge in maintaining the ISO Intergrated Management System
  • Waste Management
  • Knowledge of The National Environmental Act.107 of 1998
  • Knowledge of Occupational Health and Safety Act No.85 of 1993 and Regulations
  • Construction regulations
  • Lead Regulations
  • Knowledge of the Compensations for Occupational Injuries and Diseases Act No.130 of 1993 and Regulations
  • Good Verbal and written communication skills
  • Code 8 driver's license.

  • General health and safety training.

  • Computer Literacy
