The Senior Facilities Manager has oversight, delivers, coordinates and oversees the facilities management functions across the inland portfolio of properties comprising Braamfontein, Pretoria and Durban. This is done by ensuring delivery of the complete facility management function to the high standards of the company in the following disciplines: -
soft services, technical maintenance, security, health and safety, departmental project management and customer first-line interactions for a Customer Concentric Environment
The incumbent manages
1. a multiskilled team and
2. collaborates with subject matter experts to implement and improve systems, procedures and operations in the following: -
a) Technical Services,
b) Asset Management,
c) Health and Safety,
d) IT
e) Sales and Marketing
f) Customer Service
g) Finance and
h) Leadership Team.

RESPONSIBILITIES
Facilities Management:
Delivering the Facilities Management function within the national objectives and organizational strategy for all soft and hard services, and customer activities.
Internal and external service level agreements (SLA) are always adhered to and national service standards in terms of turnaround time are being complied with.
The managed portfolio structure in terms of value and integrity in cooperation with the Asset Management Team.
Regular, scheduled and coordinated engagements with stakeholders including student groupings, institutions and community groupings.
Ensure Standard Operating Processes are current and relevant, formulate and reviewing to ensure delivery of all services.
Provide clear and informative reports timeously.
Achieve compliance with all relevant national/municipal regulations and legislation.
All service provider contracts are current and compliant adding value to the business.
Management of equipment and spares as portfolio ages to minimise redundant spares (inventory/stock) and equipment and to minimise operational downtime as a function of unavailable stock, in compliance with SLA.
Manage commercial and operational compliance for all service contracts
Acccountability for direct (building-related) payroll costs and headcount for an assigned property portfolio
Ensure engagement of Procurement when entering into contracts in compliance with vendor/procurement policy.
Financial Management of Facilities P&L for allocated assets
Budget accountability and responsibility to agreed P&L and projects for assigned portfolio.
Manage all costs through strategic operational efficiencies.
Report on portfolio expenditure per company reporting cycles in conjunction with Asset
Management, to include procurement segmentation such as BBBEE.
Manage the condition of fixed and moveable assets and advise disposal via the company asset management process.
Health and safety standards
Legislative compliance on a business-as-usual delivery, all risks raised.
Manage all tenants on auditing compliance to legislation, apply contract formula for deviations.
No / Low-Risk exposure - Incidents kept to a minimum and managed.
Risks identified, flagged and mitigation actions communicated for execution or approval.
All SHEQ requirements are met and adhered to.
Compliance with insurance policy provisions and prescriptions
Working with HSO on general compliance including fire drills.
Management of staff
Be a role model for the Facility Department.
Ensure succession plans are developed for SFM role and subordinate staff.
Monitor and Ensure Staff delivery (through coaching, on the job training, external training, etc).
Regular and effective Performance management of team in line with company
performance management policy
Evaluate and monitor portfolio activities according to agreed Key Performance
Indicators per AM and NFE.
Apply Disciplinary procedures correctly as and when required.
Active management of headcount and regular review of whether team competency and skills are "fit for purpose"
Project Management
Deliver any small projects allocated in line with all National Standards.
Report and track project costs and ensure they are correctly allocated
Collaborative engagement with the Asset Management Team on project development and execution to meet the company agreed to National Standards.
Identification of and development of Annual Project Plan for budget and operational plan approval with the cooperation and involvement of the support SME's
Sign off delivery as the client on any approved CAPEX or Special Project work delivered to the portfolio by the Project Manager, confirming business as usual continuity and conformity of fit-out provided.
Input into project plans and risks associated with any work to be performed in the assigned portfolio.
Complete projects within timelines, scope and budget.
Life cycle management and planning.
EDUCATION :
Grade 12
Degree qualified, preferable in operations or engineering or
SAFMA
certification.
EXPERIENCE:
Minimum of 8 years in a related role, an advantage if within a student accommodation environment and technical FM services
Must be able to demonstrate flexibility concerning the type of works carried out and availability.
3+ years of work experience with a focus on Facilities and Maintenance Management
