Job Description

Minimum education




BSc(Hons), Human Genetics or equivalent qualification (NQF8).

Minimum work experience




1 year work experience in a relevant field is required. Experience in project- or research management would be advantageous.

Desirable personal abilities




Tactful, respectful, and non-judgmental. Thoroughness, with good attention to detail. Good administrative skills together with working knowledge of Microsoft Office 365. Able to prioritize own workload and work towards deadlines. Self-motivated, able to work independently and as part of a multidisciplinary team. Respectful with sound work ethic. Able to multi-task.

Demands of the job




Working overtime or over weekends may be required from time to time. Must be able to work in a pressurized environment. Local travel may be required from time to time (with own reliable transport).

Key performance areas




1.

Academic administration:




a. Supports the Academic Head in planning and managing academic activities.


b. Responsible for ensuring academic information is up to date, including student records, timetables, meeting schedules and examination processes.


c. Ensures logistical planning and arrangements in aid of academic module administration.


d. Administration of continuing professional development activities (CPD).


e. Collate and capture research outputs.


f. Maintain an online filing system of all important academic documents.


g. Takes minutes of academic meetings and distribute to attendees timeously.

2. Stakeholder engagement:




a. Facilitates communications and coordinates activities between staff, students and the leadership team.


b. Keeps an updated contact list of staff and students.


c. Communicate news and events to members of the Division.


d. Liaise with School and Faculty staff as Divisional main point of contact





3. Financial administration:




a. Budget monitoring of Divisional accounts.


b. Collect, analyse and maintain relevant data to inform financial and operational strategies.


c. Advise staff on compiling cost estimations and obtaining quotations.


d. Ensure compliance with procurement requirements.


e. Advise staff on administrative requirements of grant management.


f. Take responsibility for Divisional transactions on the Wits Oracle finance system, incl. funds check, raising purchase orders and initiating payment process.

4. Reporting




a. Works with the Academic Head to compile annual reports required by the School and University.


b. Puts systems in place for continual accrual of reporting data.


c. Follows up with staff and students to obtain reporting information.

5. Effective self-management and performance ownership




a. Takes ownership and accountability for tasks and demonstrate effective self management.


b. Follows through to ensure that quality and productivity standards of own work are consistently and accurately maintained.


c. Maintains a positive attitude and respond openly to feedback.


d. Takes ownership for driving own career development by participating in ongoing training and development activities available in the Division.
