Job Description

Duties/Pligte

The incumbent will be responsible for the following, under the guidance of the MBChB coordinator:

Administration of MBChB SI Students placed at rural distributed training sites

Orientation of new students to the rural platform. Managing student assessments and loading marks into the system. Coordinating and drawing up schedules for online learning activities. Supporting communication with students and academic units at Tygerberg campus. Providing administrative support to students based at rural distributed training sites.

Providing administrative support to the MBChB coordinator and Health Sciences programme coordinators

Scheduling meetings, preparing agendas, and taking minutes. Part-time lecturer administration: Handling registration, accreditation, SUNid role allocation, and annual campus access for lecturers. Planning, organising, and managing events related to student activities and the operations of the Division of Rural Health (Ukwanda). Loading rural distributed training sites and student placements on PlacementPlus.

Providing administrative support to the Division of Rural Health (Ukwanda)

Supporting the postgraduate programme coordinator on an ad hoc basis with the loading of marks. Assisting the staff members of the Division of Rural Health (Ukwanda) with the procurement of equipment and with travel claims and delegated duties from the line manager, and providing

additional support required by the academic coordinators when needed.Assisting with updating the official website of the Division of Rural Health (Ukwanda).



Job Requirements/Pos VereistesHigher certificate in office administration (NQF 5) or similar. Up to three years' experience in general administration. Knowledge of advanced administrative, operational or customer service skills acquired through education, experience or on the job training. Advanced knowledge of and skills in Microsoft Office software, hybrid conferencing, as well as cloud-based data access and sharing software. Strong organisational and coordination skills. Effective stakeholder engagement and liaising abilities. Data management, record-keeping, and reporting proficiency. Human resources and supervisory skills for support staff and community health workers. Experience in financial and procurement skills. The ability to manage multiple tasks across dispersed clinical sites. A valid driver's licence. Being able to work in Worcester on a permanent basis every day of the week.



Recommendation/AanbevelingRelevant experience in student administration at a tertiary institution and distributed training platform. Knowledge of policy and procedures related to university administration. Relevant experience in student administration at a tertiary institution. A working knowledge of SUNFin, SUNScholar, SUNStudent, SUNOnline, PlacementPlus and research administration systems. Project management skills. * Proficiency in more than one official South African language.
