Job Description

Our client, an Accounting firm in George, is seeking to recruit a well presented and experienced Secretarial Administrator to join their team. The role ensures smooth client communication, assists with statutory compliance (SARS, CIPC), manages office administration, and provides day-to-day support to accountants and partners. This person will act as a key link between clients and the practice, allowing professional staff to focus on technical accounting and tax work. The ideal candidate will have a minimum of 2 - 3 years' experience within this industry.

Duties & Responsibilities:



Client Communication & Front Office

Answer phones, greet clients, manage reception

Schedule and coordinate client meetings via Outlook/Teams

Follow up with clients for outstanding documents (IRP5s, tax certificates, CIPC confirmations, bank statements, etc.)

Draft professional correspondence and letters

SARS eFiling Support

Register and maintain client profiles

Appointment of SARS representatives / public officers

Download and distribute ITA34s, EMP501s, VAT notices, and other assessments

Upload supporting documents for verifications/objections under instruction

Track submission status for VAT, PAYE, and Income Tax

Alert accountants to urgent SARS correspondence

CIPC Compliance

Submit annual returns and download confirmation certificates

Update company details (directors, addresses, etc.)

Assist in preparing company resolutions, minutes, and statutory registers

Maintain records of filing deadlines

Department of labour

UIF and WCA registrations

Accfin & Internal Systems

Capture and maintain client information in Accfin

Generate client statements and reports as required

Assist with deadline tracking and SARS correspondence management within Accfin

General Office Administration

Manage office supplies, stationery, petty cash, and service providers

File, scan, and maintain both physical and digital client records

Support to Accountants & Partners

Prepare meeting packs, resolutions, and client documentation for signature

Ensure signed documents are securely filed and saved

Track upcoming statutory deadlines (VAT, PAYE, Provisional Tax, CIPC)

Ad-hoc duties and responsibilities assigned by partners

Qualifications & Requirements:



Matric

Tertiary qualification will be adv.
Minimum of 2 - 3 years' experience from a professional services firm (accounting / legal)

Working knowledge of SARS efiling & CIPC portals strongly preferred
Competency with Microsoft 365 required, Accfin experience a plus
