Job Description

Purpose of the Job



The Sales Coordinator is responsible for planning and coordinating project logistics, including permits, supplier documentation, vehicle arrangements, and client communications. The role ensures accurate costing and management of materials and consumables while overseeing job card processes from initiation to closure. Additionally, the coordinator handles key administrative duties such as invoicing, quoting, data management, and client support, ensuring efficient operations and high-quality service delivery.

Key Responsibilities



Project Planning and Coordination



Plan and organise all project-related activities including flighting schedules and application processes. Manage permits, access arrangements, and ensure all supplier paperwork is complete and compliant. Coordinate with sales teams, clients, and other stakeholders to ensure smooth project execution and meet client requirements. Arrange vehicle logistics for project needs to ensure timely transportation and delivery. Provide regular client updates and ensure quality control through photographic evidence and reporting. Calculate and manage costing for materials, inks, and consumables used in projects to maintain budget control. Oversee all job card related duties such as Estimated Time of Completion (ETC) updates, progress tracking, and timely closing of job cards.

General Administrative Management



Maintain accurate clocking sheets and record vehicle kilometre readings, providing timely updates to clients. Manage filing systems to ensure all project and administrative documents are organised and easily accessible. Prepare quotes and handle procurement, including sourcing orders efficiently to support project needs. Manage monthly billing and invoicing processes to ensure accurate and timely financial transactions. Oversee the loading and management of job cards from initiation through to closure, ensuring all data is correctly captured. Prepare and manage waybills for courier services, ensuring timely and accurate dispatch of materials and documents. Capture and maintain accurate data across all administrative functions to support operational efficiency. Provide assistance to walk-in clients and suppliers professionally, addressing inquiries and facilitating smooth communication.

Minimum Requirements



Grade 12 (Matric) Print knowledge advantageous Technical sales experience advantageous
