Often invisible to guests, the back of house team keeps things running smoothly, whether you're working in Maintenance, Finance or Reservations, you'll be supporting and contributing to something special.

We are looking for a Reservations Consultant to join our Cape Town based office.

xefx82xa7 Making reservations and preparing rate proposals and following up on the business to ensure revenue.

xefx82xa7 Ensure accurate & detailed capturing of reservations.

xefx82xa7 Provide support for our luxury tour operating division by quoting and handling touring files as and when necessary.

xefx82xa7 Quoting, managing and making tour operating bookings including flights, transfers, restaurant reservation, as well as accommodation bookings.

xefx82xa7 Ensure accurate records about guests' bookings, payments, and any additional information that colleagues might need when interacting with a guest.

xefx82xa7 Answer reservations calls in a pleasant and courteous manner, in accordance to LQA standards.

xefx82xa7 Based on the nature of the reservation required, always check the availability of the room, complete the full sequence of steps of the reservation process to book and confirm each reservation in accordance with the department and Company's policies and procedures.

xefx82xa7 Up-selling, when appropriate, by informing guests of additional services or special packages.

xefx82xa7 Assist & maintain an efficient administration system within the department.

xefx82xa7 Providing support to guests who may need to amend or cancel a reservation.

xefx82xa7 Assist with related duties as and when required by management.

xefx82xa7 Reviewing, monitoring and revising guest service standards, thereby enhancing guest satisfaction.

xefx82xa7 Supply quotations based on the client's requests.

xefx82xa7 Ensure all quotations are followed up on a regular basis in order to ensure maximum revenue.

xefx82xa7 Ensure the ability to manage small room blocks.

xefx82xa7 Ensure that you meet and work according to Leading Quality Assurance and the department's Standard Operating Procedures.

xefx82xa7 Actively endeavour to seek and resolve guest complaints, where possible, exercise judgement and escalate it to the manager.

xefx82xa7 Inform other departments and follow up with regards to special instructions / facilities.

xefx82xa7 Maintain the highest standards of professionalism when working through guest issues/complaints.

xefx82xa7 Familiarise yourself and learn each offering, various packages and specials to assist with general guest requests and other bookings on an ongoing basis.

xefx82xa7 Prepare arrival/guest correspondence on a daily basis.

xefx82xa7 Assist with booking of transfers, and other requests and reservations as required.

xefx82xa7 Meet and greet with guests and agents where requested.

xefx82xa7 Ensure general history and product knowledge of the Company.

xefx82xa7 Allocation of rooms/blocks.

xefx82xa7 Report any rate, system discrepancy to the Reservations Manager.

xefx82xa7 Report any overbooking to the Reservations Manager.

xefx82xa7 Inform the Reservations Manager of any complaints, issues or concerns pertaining to reservations, guests and agents.

xefx82xa7 Book and manage small to large blocks/reservations/groups.

xefx82xa7 Ensure optimal utilization of the PMS and maintain knowledge on all room types and its availability.

xefx82xa7 Sending of invoices, credit card payment links, following up on payments and ensuring all payments are accurately posted against each booking.

xefx82xa7 Attend handover meetings where needed.

xefx82xa7 Process, no-show, and cancellations as per the Company policy and procedures.

xefx82xa7 Ensure all reservation modifications are updated on the PMS immediately and accurately in case of any changes.

xefx82xa7 Handle the reservation correspondence accurately and neatly and follows up for any missing correspondence before guest arrival.

Requirements:

xefx82xa7 Relevant diploma/degree from a reputable institution - advantageous.

xefx82xa7 1 to 2 years' experience in a reservation's role.

xefx82xa7 Group's reservations experience advantageous.

xefx82xa7 Previous hospitality and travel experience essential.

xefx82xa7 Strong verbal and written communication skills.

xefx82xa7 Excellent customer service orientation.

xefx82xa7 High level of computer literacy.

xefx82xa7 The ability to work effectively in a pressurised environment.

xefx82xa7 The ability to work well within a team environment and without supervision.

xefx82xa7 Attention to detail and strong administrative skills.

xefx82xa7 Exceptional telephone etiquette and mannerisms required.
