Overview - Job Purpose:



Job Role is accountable for the administering of all documents for Repairs and Maintenance which includes:

Checking all payment recon sheets - accurate, timeous and authorized Matching all payments to the job card and invoices, ensuring all negotiated rates are accurate. Up to date record keeping of suppliers per area and service types as approved by management Documenting and updating all repairs and maintenance projects related initiatives including costs, budget and timing.

QUALIFICATIONS, SKILLS, AND COMPETENCIES REQUIRED.



Grade 12 and Degree/Diploma/Certificate in Office Administration or any related qualification. At least 1-2 years' experience in Admin Role Experience in Costing, recons, creating reports and matching date. Review and understanding of costs Excel - level: Intermediate Microsoft office 365 Communication and problem-solving skills. Pay attention to details. Report writing and presentation skills.
ACCOUNTABILITIES:

Costing, Recons and Reports :

Ensure the information provided is accurate on all recons, costing sheets and reports.

Matching of budgets to the quotes and thereafter invoicing for payment. Maintain a standard reporting structure, adhere to timelines and deadlines. Weekly reporting to be submitted on the progress of the departments, daily calls and projects.
Review of Payments :

Ensure that the terms and conditions approved by ROOS for Invoicing, Payments and Rates are followed through by the 3rd party provider. Ensuring the job cards are correct and matches the invoice, and quote approvals are according to mandates. Ensuring the statement is balanced to the payment recon. Tracking of guarantees and warranties.
Office Support and Vehicles :

Provide support to the office and other departments, Fleet when required. Provide support for the repairs and maintenance teams.
Knowledge of Industry - Stay updated:

Develop a working knowledge of Industry, Regulations, restrictions, and laws Initiate and manage industry initiatives specifically relating to best practice requirements of the industry.
