Job Description


A leading property company with a large rental book and National winning team of rental agents is looking for an experienced Rental Admin Specialist to join and grow within the team. This is a senior position which requires the relevant experience.

Some of the duties entail:

  • Check the WeConnectU dashboard daily.
  • Ensure that all information is captured and uploaded on WCU.
  • Check that all tenants are on TPN and that the credit checks are adequately performed.
  • Ensure that the lease checklist is signed off and updated to each lease file.
  • Send out Letters of Demand.
  • Reconcile unreconciled deposits and follow up with Agents regarding any.
  • Split/ future payment dates for future months where applicable IE if lease only starts in a couple of months or commission only due the following month, etc.
  • Monitor tenants in arrears and submit a list to agents for follow up on the 3rd and 6th of each month.
  • Compile list of leases expiring 3 months in advance, to be checked against the Ongoing Rental Report, and submit to agents to follow up on.
  • Export payments by remittance date as per Commission Run/ Cut off Schedule; compile and submit monthly commission statements to the Finance Department.
  • Ensure all required statutory FICA documents are received and uploaded to each lease on WeConnectU.
  • Ensure correct and timeous reporting of all rentals to Smart Track and confirm on closing off the month on the last day of said month.
  • Overseeing adequate and complete supporting documentation for submission to Accounts Division to ensure accurate and timely reporting.
  • Ensuring that complaints and concerns are attended to speedily and satisfactorily, as far as is possible.
  • Prioritize support to Agents at all times.
  • Ensure that all leases are compliant with POPIA.
  • Ensure that all mandates and mandate source information is added to PropData Management System (PDMS)
  • Maintain accurate records of overall activities and clients in accordance with the legal requirements of this Company. Any and all paperwork, documentation, contact details, reports of lists generated, are to remain the property of the Company.
  • Ability to problem solve and troubleshoot within the Rentals Admin Department as required.
  • Have a thorough understanding of the Real Estate Laws and Code of Ethics.
  • Ensure overall statutory compliance of the rentals division with applicable laws and regulations (FICA, NCA, CPA, PPRA).
  • Any other duties required by the company from time to time as instructed by Management.

Salary is market related and negotiable depending on experience.

Requirements:

Good knowledge of the WeconnectU system

3 years experience in the same or similar position

Sound knowledge of the Rental Housing Act

Service orientated
