Job Description

We are seeking a highly organized and professional Receptionist to manage front desk operations for two dynamic companies sharing a workspace. Our mission is to ensure seamless and efficient service for all visitors, clients, and staff, contributing to a positive and productive work environment.

The Receptionist will serve as the first point of contact for both companies, providing exceptional customer service and administrative support. This role requires a polished, approachable, and proactive individual with excellent multitasking skills and a keen eye for detail.

Key Responsibilities:



Front Desk Management:



Greet and welcome visitors, clients, and staff for both companies in a professional and friendly manner.

Manage phone calls, emails, and other communications, directing them to the appropriate parties.

Handle check-ins, sign-ins, and security procedures for visitors.

Administrative Support:



Coordinate meeting room bookings, setup, and support for both companies.

Manage office supplies inventory and reorder as needed.

Assist with document preparation, data entry, and general administrative tasks.

Customer Service:



Address and resolve visitor inquiries or concerns with professionalism and efficiency.

Provide information about both companies as required, including directions and contact details.

Ensure a high level of customer satisfaction through excellent service delivery.

Coordination and Communication:



Liaise with internal teams and departments to facilitate smooth operations for both companies.

Ensure effective communication between the two companies, maintaining confidentiality and discretion as required.

Coordinate with building management and external vendors for facility-related matters.

Operational Efficiency:



Implement and maintain front desk procedures and protocols.

Prepare and distribute internal memos, notices, and other communications as needed.

Handle administrative aspects of office events and functions.

Qualifications:



High school diploma or equivalent; additional certifications in office administration or related fields are a plus.

Minimum of 1-2 years of experience in a receptionist or administrative support role, preferably in a corporate environment.

Proven experience in managing front desk operations for multiple entities or companies is highly desirable.

Exceptional communication and interpersonal skills.

Strong organizational and multitasking abilities.

Proficiency in office software (e.g., Microsoft Office Suite).

Ability to handle sensitive information with discretion and professionalism.

Positive attitude with a strong customer service orientation.
