The main purpose of this position is for the post incumbent to command the front desk and perform a variety of administrative and clerical tasks to support organizational operations. Actively participate and contribute to team processes in sharing knowledge and information that will promote harmony and contribute to collective efforts in meeting the department and University's strategic goals.
Minimum requirements
Grade 12 with relevant NQF 5 Certificate.
2 years and more relevant working experience.
Computer literacy including Microsoft Office i.e. Word, Excel, Outlook, PowerPoint.
Duties and Responsibilities
Front Desk Command
Provide a professional front desk service (i.e., by providing an effective and efficient service to internal and external clients.
Applying telephone etiquette in answering calls, taking messages, and directing calls to the relevant person, unit.
Handle the flow of clients & visitors and direct the visitors.
Ensure reception area is tidy, presentable, and has all necessary stationery and material (e.g., brochures).
Maintain office security by following safety procedures and controlling access via the reception desk.
Make attendance registers and application forms available to clients and visitors at the reception area.
Procurement & Payments
Plan and execute the procurement of consumables, goods, and services.
Track the procurement process and ensure up to payment of invoices.
Programme Assistance
Assist colleagues with interventions and tasks related to various Centre programmes.
Maintain records of income and expenditure of various programmes.
General Administration
Perform administrative duties such as minute taking, filing, photocopying, and transcribing.
Coordinate meetings and organise catering.
Provide general administrative and clerical support to Centre colleagues.
Maintain proper filing of documents and archive documents older than three years.
Performs any ad hoc duties as and when required Distributes and collects feedback sheets and collates data.
Conduct surveys with clients.
Upington Learning Centre (ULC)
Assist students with regard to accessing ULC facilities.
Direct students to relevant SPU where further guidance is required.
Cleaning supervision
Monitor and allocate tasks to be performed by the cleaner.
Ensure cleaner comply with OHS Act.
Communication
Internal liaison with clients, staff, students and other University environments by any appropriate means of communication.
External liaison with other Colleges, Universities, DHET, donors, learning sites, etc, by any means appropriate.
