About the Role
The Receptionist handles incoming calls, welcomes visitors, manages meeting rooms, and supports the office with general administrative tasks. This position reports to the Administrative Manager and ensures the Reception Area operates efficiently, professionally, and in line with company standards.
Key Responsibilities
Front Office & Reception
Maintain a safe, clean, and professional Reception Area
Ensure the desk is always manned and that proper handovers take place
Ensure water and glasses are available at the water cooler
Assist with visitor refreshments
Incoming Calls
Answer calls within three rings
Transfer calls to the correct staff member or department
Take and email messages when staff are unavailable
Monitor and report switchboard issues and updates
Keep up to date with any changes to the phone system
Visitors
Greet and announce visitors professionally
Monitor visitor access and maintain security awareness
Ensure visitors are comfortable while waiting
Answer general queries, including guiding clients to ANGOR Online
Query Handling
Direct enquiries to the correct department or staff member
Meeting Rooms
Maintain the boardroom diary/calendar
Ensure the boardroom is tidy and ready for each meeting
Ensure windows are closed and equipment switched off at the end of the day
Office Maintenance Support
Monitor wall clocks, replace batteries, and update the date clock
Report access card issues, electrical or plumbing faults, aircon issues, or water outages
Ensure correct door notices are displayed when offices close
Send attendance lists as required
General Administration
Monitor and forward items from the general inbox
Control and issue documents for client collection
Assist with filing, scanning, photocopying, and binding
Manage departmental stationery and assist with company stationery orders
Receive, sort, and distribute mail daily
Maintain the daily attendance register
Perform any reasonable task assigned by management
Minimum Requirements
Grade 12 (Matric)
Excellent command of written and spoken English
Professional appearance and manner
Computer literacy in MS Office

Ability to handle constant interruptions professionally
