Job Description

Responsible for supporting and coordinating construction projects from initiation to completion. This role involves assisting with project planning, monitoring progress, coordinating resources, and ensuring effective communication among project stakeholders. Plays a vital role in facilitating smooth project execution and achieving project goals within specified timelines and budgets.

Responsibilities



Assist in project planning activities, including developing project schedules, defining project objectives, and identifying resource requirements. Collaborate with project managers and stakeholders to ensure project plans are comprehensive and aligned with project goals. Facilitate effective communication among project team members, subcontractors, suppliers, and other stakeholders. Coordinate project meetings, distribute project-related information, and document meeting minutes. Ensure timely and accurate flow of information to support project progress. Assist in coordinating and allocating project resources, including labor, materials, equipment, and subcontractors. Collaborate with procurement and logistics teams to ensure timely availability and delivery of resources as per project requirements. Support project budgeting and cost control activities. Assist in tracking project expenses, monitoring cost variances, and identifying areas for cost optimization. Collaborate with finance or accounting teams to ensure accurate financial reporting and adherence to project budgets. Maintain project documentation, including contracts, permits, drawings, specifications, and change orders. Organize and update project files, ensuring easy access and retrieval of project-related information. Identify and document project risks, issues, and potential obstacles. Assist in developing risk mitigation strategies and contingency plans. Monitor project risks throughout the project lifecycle and communicate any significant risks to the project team. Support quality assurance activities by monitoring compliance with project specifications, codes, and regulations. Collaborate with quality control teams to ensure proper inspections, tests, and documentation of project deliverables. Assist in creating and maintaining QMS documentation, including policies, procedures, and work instructions. Support training initiatives to ensure that all team members understand QMS processes and their roles in maintaining quality standards. Assist in planning and conducting internal audits to ensure compliance with QMS and identify areas for improvement. Collaborate with the quality team to review audit outcomes, identify trends, and recommend corrective actions as needed. Support the documentation and resolution of non-conformance reports, ensuring that proper corrective actions are implemented. Engage with project teams to encourage a culture of continuous improvement, including participation in quality improvement initiatives and brainstorming sessions. Assist in preparing project reports, progress updates, and status presentations. Compile and analyze project data, metrics, and key performance indicators (KPIs). Provide regular project status updates to project stakeholders. Ensure adherence to health and safety regulations and standards on the construction site. Promote and enforce a culture of safety among project team members and subcontractors.

Education, Skills & Qualifications



Diploma / Bachelors Degree in Project Management, Construction Management or a related field Certificate or Diploma in Quality Management Systems Project management certifications: Certified Associate in Project Management or similar 3 - 5 years of experience in Project Administration / Project Coordination 2 -3 years of experience in Quality Management Systems Drivers Licence - Code 8 Experience in the construction industry. Working knowledge of project management software Proficiency with Microsoft Office Excellent interpersonal skills Excellent communication skills Attention to detail
