Job Description


Purpose of the Job

The Project Administrator (Cellular) is responsible for facilitating and streamlining all planning and coordination efforts within the team. This role provides administrative support efficiency for the team and projects, meticulously executing promotional data inputs on SAP Retail system, ensuring the accuracy of pricing information, managing promotions-related incidents, collaborating with the marketing team on promotional activities, effectively coordinating the delivery of stock to designated stores, while ensuring adherence to relevant compliance and regulation standards. The Planning Administrator plays a vital role in optimising productivity and ensuring that projects and planning activities are completed on time and within budget.

Job Objectives

Administrative Support, Optimisation and Reporting:
Provide efficient administrative support to the team, including organising files, managing correspondence, and preparing documents, and ensure that all documentation is properly archived and easily accessible.
Assist in the preparation of presentations, meeting materials, and documentation.
Conduct regular reviews of overall documents, schedules, and resource allocations to ensure accuracy and consistency.
Identify and report information discrepancies, potential risks, or issues to the team.
Implement quality control processes to maintain high standards and optimise in planning activities.
Generate reports and summaries to provide insights into project progress and potential areas for improvement.
Analyse data to identify trends, bottlenecks, and opportunities for optimisation. Promotions Support:
Execute promotional data inputs on SAP Retail system.
Ensure that pricing information is precise and promptly updated within the SAP Retail system, this includes monitoring price changes and making adjustments as required.
Address and resolve incidents related to promotions promptly and efficiently.
Collaborate with relevant teams to rectify any issues that may arise during promotional campaigns.
Collaborate closely with the marketing team to coordinate and support promotional activities.
Ensure seamless communication and alignment on promotion strategies and objectives.
Ensure that all promotional documents and activities strictly adhere to MDQ department standards and regulations.
Collaborate with regulatory and compliance teams as necessary to meet requirements. Stock Administration and Coordination:
Ensure that stock is utilised effectively and are available when needed.
Anticipate stock constraints and proactively address them to prevent disruptions.
Monitor and maintain optimal inventory levels.
Manage stock levels to meet promotional demands.
Coordinate the delivery of stock to designated stores, ensuring that courier companies deliver efficiently and accurately. Article Creation:
Create and maintain articles in accordance with established guidelines and requirements.
Ensure that promotional materials and descriptions are accurate and up to date. Project Support:
Develop and maintain comprehensive project schedules, calendars, and timelines.
Collaborate with team members to create realistic and achievable project timelines.
Monitor and update schedules as needed to accommodate changes or delays. Compliance and Regulation:
Stay informed about relevant laws, regulations (i.e., RICA), and company policies that pertain to team activities.
Assist in obtaining necessary permits, approvals, and compliance documentation.
Collaborate with legal and regulatory departments to ensure adherence to standards.

Qualifications

Grade 12 or equivalent
Degree or Diploma in Business Management, Administration or similar

Experience

+2 yearsxe2x80x99 experience in an administrative or planning or buying support role with strong organisational and time management skills
Proficiency in using office software (e.g., Microsoft Office Suite, project management tools)
Knowledge of SAP Retail systems (i.e., pricing and promotion) in retail.
Knowledge of project management concepts and tools, including specialised project management software
