The post holder will provide part-time administrative support for the EFFECT clinical trial (Mycology Division)
The incumbent will assist with trial-related administrative and regulatory activities
The position involves matrix reporting, multitasking, and working with several departments and members of the study team and is mostly done online through MS365 apps
The post holder will provide admin support to the Cape Town study team but will interact with study teams at other sites and the EFFECT Head Office site situated at NICD, Johannesburg

Key performance areas:
Maintain eTMF and Investigator Site Files on Sharepoint and Teams
Order, file, track, and maintain files and documents related to the study
Liaise with vendors and regulatory bodies, sponsors, investigators, and site personnel
Liaise with study sites on various matters for example inventory and supplies, requests for documents, responses to study activities, certification
Prepare, update, and maintain spreadsheets, trackers, and logs and keep them current
Compile and review documents for submission to Regulatory bodies
Gather site study documents, check the correctness thereof, and forward them timeously to WHC administrators
Assist with staff travel and accommodation bookings
Preparation of study-related presentations
Arrange meetings (including all related logistics for in-person meetings) and take minutes
Draft and edit newsletters
Coordinate trial purchases and manage stock inventories
Process invoices, obtain quotes, reconcile expenses, and follow financial procedures
Control the petty cash and conduct reconciliations
Required minimum education and training:
Previous experience working in Clinical Trials either as a Study Nurse, Clinical Research Assistant, or Research Administrator is advantageous
Knowledge of GCP and Clinical Trial Processes
Strong general administration skills and experience
Basic understanding and experience working with MS365 Office applications
Required minimum work experience:
2 - 5 years of experience and knowledge of Clinical Trials
Desirable additional education, work experience, and personal abilities:
A Degree or Diploma in the Health Sciences or related field would be an advantage
Current GCP Certificate
Excellent demonstrable organizational and coordination skills
Intermediate IT skills and use of MS365 Office applications
