Job Description

We are looking for a skilled, experienced, organised and detail oriented Programme Administrator to coordinate and support the Programme & Deputy Managers Office. The successful candidate will manage the offices administration, diary, organize meetings, correspondence and assist with other secretarial duties.

Key duties and responsibilities

Administration

  • Assist in consolidation & preparation of routine reports, presentations, editing and proofreading documents
  • Assist with internal auditing of equipment and ensuring proper distribution
  • Schedule routine internal meetings with the COJ district management team and other stakeholders
  • Send out communication and coordinate all logistics and admin related duties
  • Ensure that all project related documents are kept in accordance with Anovas standard filling system
Stakeholder Relations & Communication
  • Coordinate events with various stakeholders and organisations both internally & externally
  • Resposible for procurement of equipment and other resources
  • Mananage the filing of purchase orders and tax invoices
  • Establish and maintain effective & efficient communication with all stakeholders
  • Distribute minutes of the meetings to all relevant stakeholders and keep record thereof
  • Act as the point of contact on behalf of Programme & Deputy Programme Manager
Essential qualifications and experience
  • Diploma in Office Management or equivalent tertiary qualification
  • At least 3 years administration and secretarial work experience
  • Ability to travel within City of Johannesburg Health District
  • Excellent written and communication skills in English
  • Project Management training or experience an advantage
  • Experience in funded programmes/projects an advantage, especially in Health or HIV/AIDS related sector
  • Good report writing skills
  • Proficiency in MS Office package including Outlook
  • Demonstrated sound judgment and discretion in dealing with confidential and sensitive matters.
  • Interpersonal skills and excellent analytical skills
  • Excellent organisational and planning skills
  • Attention to detail and deadline driven
  • Ability to work under pressure with minimal supervision
