We're looking for a highly organised
Personal Assistant
to work closely with our senior leadership team and help manage projects, priorities and day-to-day task delivery across a business of
50+ users
.
This is not a traditional admin-only PA role. The focus is on
project coordination, task tracking and follow-up
. You'll attend key meetings with leadership, capture actions, organise priorities, and make sure tasks agreed in meetings are delivered on time and to the required standard.
You'll work directly with the
CEO, Sales Director, Head of Accounts
, and other senior stakeholders in a fast-moving, tech-friendly organisation.
Key responsibilities
Supporting senior leadership with
task and priority management
Attending leadership and project meetings and
recording agreed actions
Turning discussions into clear, structured tasks with:
Owners
Deadlines
Agreed acceptance criteria
Tracking tasks across teams and following up to ensure delivery
Proactively chasing actions and escalating delays where needed
Helping leadership stay focused on priorities and commitments
Coordinating work across:
Internal teams
Software developers
Third-party subcontractors
Keeping task lists, trackers and documentation up to date
Supporting process and workflow improvement projects
Diary and coordination support
Managing diaries and meeting schedules for senior stakeholders
Ensuring meetings are purposeful, structured and followed up with clear actions
Preparing agendas and ensuring outcomes are captured and actioned
Tools and ways of working
We currently use
Microsoft Teams
, including Planner / Tasks
We are
open to using different task or project management tools
You'll help improve how tasks and projects are tracked, rather than just following an existing system
Experience and skills required
Experience as a
Personal Assistant, Executive Assistant or Operations Coordinator
Strong task and priority management skills
Confident working alongside senior leadership
Able to organise, structure and track work across multiple stakeholders
Comfortable following up and pushing for delivery when required
Excellent written and spoken English
Highly organised, detail-focused and proactive
Confident in meetings and able to communicate clearly with teams
Desirable
Experience supporting senior leadership in a fast-paced environment
Exposure to project coordination or operational roles
Familiarity with task management tools (Planner, Asana, ClickUp, Monday, etc.)
Neutral or near-neutral accent suitable for professional client and stakeholder calls
