Job Summary
The Personal Assistant (PA) is expected to work with a senior manager/s or director to provide secretarial and administrative support. They act as the first point of contact for the manager/s during their absence. The individual must maintain a high degree of confidentiality and interact with stakeholders at various levels to deliver work output effectively.
Key Accountabilities
1. Executive Support & Diary ManagementDiary and Meeting Management including room bookings, catering, and IT setup.
Monitor attendance responses and proactively inform the manager if key attendees are unavailable, enabling a decision on whether to reschedule or proceed.
Review the manager's diary daily to identify scheduled meetings, request relevant meeting packs, and save them in the appropriate folders for easy access during meetings.
Manage the manager's mailbox with discretion, integrity, and confidentiality, identifying important emails and ensuring timely follow-up.
Collate agendas and PowerPoint decks for meetings including quarterly team meetings.
Assist Heads of R&A and AC with team communications.
2. Team Coordination & OnboardingMaintain an up-to-date list of team members, including tracking new joiners and leavers.
Ensure email distribution lists for the team are accurate and updated regularly to reflect team changes.
Organise team events including scheduling, invitations, venues, catering, and equipment.
Ensure new joiners are fully operational on day 1.
Support People initiatives such as CSI, Training Academy, Birthdays, and Team Builds.
3. Administrative & Operational SupportProvide administrative support aligned with standard operating procedures.
Support team performance through ongoing assistance.
Fulfil activities in adherence to compliance, control, and quality standards.
Track and report on administrative duties as required.
Handle customer requests and complaints constructively.
Maintain financial files and records securely and systematically.
Address ad-hoc queries from stakeholders with clarity and timeliness.
Perform general finance-related administration duties.
Manage filing and archiving systems in line with Records Management policy.
Assist with IT equipment/software/building access requests.
4. Procurement & Audit LogisticsSubmit purchase orders for approval in line with procurement policies.
After approval, submit invoices and ensure all supporting documentation is complete.
Proactively follow up on the invoice payment process until payment is confirmed.
Maintain accurate records of purchase orders, invoices, and payment status.
Assist with coordinating building access for external auditors.
Arrange IT equipment for external audit teams.
5. Information & Systems ManagementMaintain version control of key documents and ensure timely updates.
Ensure sensitive documents are handled in accordance with data privacy and governance policies.
Maintain familiarity with internal systems (e.g., SAP, SharePoint, Concur) to assist with navigation and basic queries.
Provide first-line support for basic IT troubleshooting before escalating to IT.
Maintain a central repository of meeting minutes and decisions.
Draft and proofread correspondence, reports, and presentations to ensure clarity and consistency.
Act as liaison between the manager/s and internal/external stakeholders, ensuring timely and professional communication.
Track action items from meetings and follow up with relevant stakeholders.
Education
