Job Description

The role of the People Support Administrator is to provide professional, efficient, accurate and effective administration support to the People Support team and the business. The PS Administrator is responsible for administering all employee administrative information and activities on time and accurately by capturing employee information on the PS systems; maintaining trackers and folders; creating and maintaining employee filing system and assisting with PS project related work


Key Responsibilities



1. Recruitment & Selection


Assist the PS Practitioners with the recruitment process when required (i.e. screening, scheduling verification checks, reference checks, preparing interview packs, book psychometry assessments etc.) Assist with language assessment requests.

2. Onboarding & Offboarding


Log onboarding & offboarding tickets via Jira Creates new employee profile on SAGE 300. Ensure all new starter paperwork is completed and submitted to payroll. Prepare probation pass letters for new employees. Ensure termination documents are completed in full & submitted to payroll for processing. Ensure exit interview questionnaires are completed online.

3. Employee Relations


Assist PS Practitioners with preparing disciplinary enquiries and CCMA packs. Prepare monthly disciplinary/sanction report for Operations. Capture all disciplinary sanctions on Sage and file on Papertrail.




4. Employee Wellness & Benefits


Plan, co-ordinate and assist with wellness initiatives. Provide guidance and assistance to employees regarding the Employee Wellness Programme (EWP). Assists employees with completing all benefit forms and ensures accurate completion in conjunction with employees for processing (pension fund, group life and medical insurance/aid) at the commencement and termination (where applicable) of an employee's service. Submit all ad hoc Medical Insurance applications and handle queries. Administration of group risk benefit claims. Administration of the Clinic & Counselling bookings

5. Reward & Recognition


Prepare long service certificates and vouchers monthly. Communicates Long Service milestones to respective departments. Complete and distribute Reward Certificates as requested by the business. Issue and distribute Reward cards on a weekly basis. Issue birthday cards monthly Manage the staff card process

7.PS Administration & Support


Develop and maintain organizational charts for all three divisions. Prepare, track, and process all People Support (PS) invoices on a monthly basis. Compile and submit monthly reporting inputs accurately and timeously. Coordinate and submit the monthly stationery order for the department. Create, file, and maintain all employee-related documentation on the electronic filing system after being captured on SAGE 300. Assist employees and managers in resolving all ESS (Employee Self Service) leave and application queries. Prepare confirmation of employment letters upon request. Facilitate maternity processes, including completing maternity contracts with employees prior to their leave. Complete and submit UI19 and UI2.7 forms for terminations and maternity leave. Provide support with SAGE 300 and JIRA-related queries, such as team changes and user access. Perform general administrative duties and ad hoc People Support tasks as required. Conduct the annual People Support audit in line with compliance requirements.

Qualifications and Experience




+ National Diploma or Bachelor's Degree in Human Resources Management + Minimum 2 years' experience as a PS Administrator in an organisation with 300+ employees.
+ Experience within the Contact Centre Industry will be advantageous with an FTE of 500 or more employees.
+ Experience with SAGE People 300 will be advantageous.
