Job Description


Requirements:

  • Grade 12 / Senior Certificate
  • VIP Payroll experience
  • Syspro experience
  • MEIBC & Manufacturing experience
  • Minimum 2 years in a similar role
  • Bilingual (English & Afrikaans)
  • Own reliable transport
Responsibilities:

VIP Payroll
  • Add new employee(s) to VIP, remove terminated employee(s) from VIP.
  • Calculate leave/SEIFSA payouts for terminated employee(s).
  • Obtain and capture all deductions: Medical Aid, Cellphones, MEIBC, BALS, other) Old Mutual deductions, Garnishee and Maintenance orders, laundry and refreshments for deductions, Team leader grants, H&S grants and all additional earnings and deductions.
  • Prepare and submit EMP201, MEIBC, MIBFA, NUMSA reports to Fin Acc. For payment.
  • Import clockings and leave from ERS to VIP on a weekly basis
  • Check payroll with Finance Department.
  • Prepare payment sheet and print payroll reports.
  • Obtain and capture all remuneration adjustments approved by the CEO
  • Ensure that all payroll procedures and conduct are in line with MEIBC regulations.
  • Submit UIF, MIBFA/MEIBC and NUMSA submission
  • Keep VIP system up to date and install new releases when applicable.
  • Calculation of all wage transfers where applicable.
  • Responsible for entire leave sheet (Salary & Wages).
  • Keep track of all Annual leave taken for every employee for the full year.
  • Keep track of all sick leave and when an employee has reached his limit of sick leave taken in cycle.
  • Compile Tax year end reports and files for import to easyfile.
  • Attend VIP Seminars and training to keep up to date with latest releases.
  • Ensure that proof of authorised signed-off documentation are on file in cases where adjustments of rates, salaries and pay-outs are made.
Administration and Payroll
  • Print payslips and arrange for distribution (inclusive of for Lavirco & Non Pareil Payslips) on VIP.
  • Submit the monthly payroll file by the third working day after T&A has been signed off.
  • Accountable to ensure that monthly pay summaries are authorised and presented to Finance for sign-off.
  • Export payroll file from VIP for journal import to Syspro.
  • Maintain neat and tidy filing of all payroll related admin.
  • Assist with reports for maintenance cost and HR metrics.
  • Assist with employee payroll queries.
  • Complete and update P4-6 spreadsheet: Loans & Allowances
  • Calculate monthly the split between capital and interest of personnel loans.
  • Maintain employee data with institutions for deductions: Old Mutual, Discovery, Momentum.
  • Complete STATS SA Reports every 3 months.
  • Complete MEIBC forms for employees upon termination of employment.
Control
  • Accountable to ensure that only authorised deductions are made on the payroll system.
  • Generate the report for the calculation of unit costs.
  • Accountable to ensure that the security and integrity of the payroll date / information / system is maintained at all times, under all circumstances, with the appropriate authorisations by conducting your activities within the highest levels of integrity and confidentiality.
  • Report any/all-risk areas that may impact on the integrity and security of the payroll system.
  • Do weekly checks to ensure that the VIP-hours correlate with the hours on the ERS system and ensure that corrections are made where variances occur.
  • Maintain and submit reports at agreed deadlines.
