Job Summary
Our client, a leading brand name, is looking to employ a Parts and Warranty Manager to their team based in Humansdorp.
Requirements:

  • 5-7 years' experience in a Parts and Warranty Manager position within Agriculture and/or Construction industry.
  • Strong knowledge of agricultural mechanisation machinery / equipment, including parts and warranty systems/processes.
  • Ability to keep track of and report on activity.
  • Have experience in workshop / service operations.
  • Ability to develop and maintain Budgets and Planned Preventative Service schedules.
  • Be highly aware of safety, health and hygiene stipulation and very cautious to reduce downtime and errors.
  • Understanding of parts procurement / supply chain processes.
  • Competent in problem solving, team building, planning and decision making.
  • Driver's License and own vehicle.
  • Proficiency in Microsoft Office Suite.
Responsibilities, but not limited to:
1. Parts and Warranty:
  • Ensure efficient management, co-ordination and record-keeping of all parts and general service activities.
  • Oversee the parts department's daily tasks.
  • Ordering parts stock and ensure sufficient correct stock levels are acquired at the correct price for the same quality item with the same specification for the department to increase it GP.
  • Open and close job cards as per SOP requirements (Standard Operating Procedures).
  • Ensure availability of parts on a weekly basis.
  • Parts sales and invoicing.
  • Adhere to daily and weekly checks to ensure smooth operations of parts department.
  • Attend to and submit all warranty claims on time.
  • Receiving and dispatching of parts orders.
  • Maintain accurate service and parts record keeping and reporting.
  • Ensure instructions to suppliers / contractors include a full scope of requirements to prevent add-ons and unplanned expenditure after quotation approval.
  • Parts stock take (spot check once a month) (full stock count twice a year).
  • Liaison with walk in clients.
  • Handling client complaints and working closely with the General manager to resolve complaints.
2. Purchasing and Finance Management:
  • Ensure that all daily, weekly and monthly deadlines are adhered to.
  • Always be aware of all policies and work within those boundaries.
  • Maintains parts and tools inventory, supplier quotations, monitoring purchase orders and invoice approvals.
  • Overseeing equipment stock and placing orders for new supplies when necessary (ordering, receipt and stock control).
  • Forecasting, ordering, and price negotiation of spare parts inventory.
3. Fleet Management:
  • Liaise with relevant department for when services can be performed, so parts can be ordered if not in stock.
  • Check during and after services, to ensure that parts are correct. All parts not used to be brought back into stock or sent back to the supplier.
  • Ensure that any 'action' done is recorded and placed in the correct file.
4. Human Resources:
  • Provides training for personnel on service, parts and warranty processes.
  • Performs and verifies Performance Evaluations on direct reports at least once a year.
  • Addresses employee relations matter fairly and promptly.
5. Communications and Reporting:
  • Written and verbal communication must comply with code of conduct and should always be executed in a professional manner.
  • Ensure timeous and professional response to service queries and complaints.
  • Complete job Cards, Work Orders and Attendance Reports and Documents and ensure such documents are signed and submitted to the applicable department/s.
  • Review and Monitor Reports provided by staff within your department.
  • Ensure site hours are correctly indicated to allow for hours on site tracking.
