, the successful candidate will play a key role in ensuring all
desk-based operations
are efficiently managed while
supporting our UK-based freelance team
in delivering exceptional property and block management services.
Key Responsibilities
1. Operational Oversight
Manage all desk-based activities related to block management, including
service charge budgets
,
financial reporting
, and
compliance documentation
.
Act as the main coordination point between the
Cape Town office
and the
UK freelance team
for onsite operational tasks.
2. Team Management
Supervise and support the
back-office team
to ensure efficient communication with residents, contractors, and stakeholders.
Allocate, track, and monitor workloads to meet all deadlines and quality standards.
3. Process Optimization
Develop and implement improved
operational workflows
to boost productivity and accuracy.
Ensure all
systems and property management software
are effectively utilized and maintained.
4. Client & Stakeholder Support
Facilitate clear and professional communication with
UK-based clients
, including residents, leaseholders, and freeholders.
Prepare reports, assist in resolving issues, and maintain a high level of
customer satisfaction
.
5. Performance Monitoring
Track and report on key operational performance indicators.
Monitor and manage
budgets
to ensure cost-effective service delivery.
6. Training & Development
Train and mentor back-office staff on block management procedures and best practices.
Foster a
collaborative, growth-oriented
team culture.
7. Regulatory Compliance
Ensure all operational processes comply with
UK property and block management regulations
.
Oversee proper documentation, including
service charge demands

budgets

annual statements
.
Requirements
Proven experience in
operations management
, preferably within
property or block management services
.
Strong understanding of
financial processes
, reporting, and compliance in the property sector.
Excellent
communication and coordination skills
, especially across international teams.
Proficiency in
property management software
and MS Office tools.
Ability to manage multiple projects under tight deadlines.
Experience in
leading, training, and developing teams
