We are seeking an experienced Operations and Commercial Manager to lead our Cape Town office and oversee all back-office functions supporting the Kosmas Enterprises's real estate services division . This senior leadership position encompasses operations, sales support, administration,, and commercial growth initiatives across our property management platform, maintenance services division, and managed property portfolio. You will be the operational backbone of the group, ensuring seamless coordination between Cape Town and UK-based teams.
Key Responsibilities
Back-Office Leadership & Administration
Lead all back-office functions including administration, sales support,, and customer service
Implement and maintain CRM, project management, and operational software systems
Ensure data accuracy, reporting compliance, and document management across all business units
Operational Leadership
Oversee day-to-day support operations for all property services business units
Establish and monitor KPIs, driving continuous improvement initiatives
Coordinate cross-functional activities between property management platform, maintenance services, and managed portfolio
Implement standardised operating procedures ensuring consistency and quality across service lines
Support operational integration for newly acquired businesses, ensuring smooth transitions
Sales & Commercial Growth
Lead sales support functions: lead generation, qualification, and pipeline management
Develop and execute commercial growth strategies to expand revenue streams
Identify and pursue cross-selling opportunities between business units
Support tender submissions and contract negotiations for public sector and commercial contracts
Manage client communications, follow-ups, and relationship nurturing; develop sales collateral and proposals
Platform & Services Coordination
Act as operational bridge between technology platform and service delivery teams
Coordinate service fulfilment to platform users (landlords, tenants, property managers)
Manage customer enquiries, bookings, and service scheduling through the platform
Work with technology teams to identify operational improvements and feature requirements
Financial & Performance Management
Prepare and manage operational budgets, monitoring expenditure against targets
Produce regular operational, sales, and commercial reports for senior leadership
Track revenue performance and implement corrective actions; support financial forecasting
Identify cost reduction opportunities while maintaining service quality
Team Leadership & Development
Build, lead, mentor, and develop the Cape Town operational team
Foster a culture of accountability, collaboration, and continuous improvement
Conduct performance reviews and implement development plans
Ensure compliance with South African employment legislation and HR best practices
Compliance & Quality Assurance
Ensure operations comply with relevant regulations, industry standards, and group policies
Oversee data protection and GDPR compliance; manage vendor relationships
RequirementsExperience & Skills
Minimum 5 years' experience in operations management (property services, facilities management, or BPO preferred)
Proven track record leading back-office/shared services functions and sales support activities
Strong commercial acumen, analytical skills, and data-driven decision making
Proficient in CRM systems (HubSpot/Salesforce), project management tools, and Microsoft Office
Excellent written and verbal English communication skills
Qualifications
Degree in Business, Management, Operations, or related field (or equivalent experience)
Project management qualifications (PRINCE2, PMP) desirable

Summer (Last Sunday in March to Last Sunday in October):
09:00 - 17:30 UK time (10:00 - 18:30 SAST)
Winter (Last Sunday in October to Last Sunday in March):
09:00 - 17:30 UK time (11:00 - 19:30 SAST)
Evening hours after 17:30 are worked remotely
Some weekend work may be required
