Job Advert Summary

PURPOSE:
  • To maintain, update and prepare information required for various SCM reporting requirements ensuring accuracy and completeness
  • Identify various sources of information based on defined reporting needs and review integrity before collating and capturing in relevant systems and/or documents.
  • Effectively engage stakeholders and communicate on data requirements and timelines.
  • Plan activities for data collection and capturing to ensure timely SCM reporting.


Minimum Requirements


QUALIFICATIONS:
  • Diploma in Business Analysis (Essential/Minimum or)
  • Diploma in Business and Information Mana (Essential/Minimum)
EXPERIENCE:

3-5 years Proven experience in data analysis, reporting and governance. Proficient in the use of communication and collaboration tools, such as MS Office Suite, document management systems and databases. Experience in continuous process improvement. Ability to work independently and in a team environment. Strong interpersonal skills with ability to foster effective communication and collaboration within the team and the organisation. Ability to work closely with other departments to support cross- functional projects and initiatives. Ability to work independently and in a team environment. Essential/Minimum Operational

  • Certificate of Fitness (Essential/Minimum)
  • Competence: MS Office Relevant Package (Essential/Minimum)

Duties & Responsibilities

Administration and Document Control
  • Review and ensure correctness of information gathered based on requirements.
  • Ensure data captured is of high quality and prepare reporting according to defined standards and requirements.
  • Ensure safekeeping of source information and documentation within current systems

Compliance, Governance and Assurance
  • Ensure all captured information and prepared reports has integrity and is in accordance within the defined standards provided.
  • Verify information received from stakeholders or gathered from sources are valid and compliant to requirements.
  • Governance: Ensure function adheres to Company governance, policies, standards, statutory and legal compliance. Entrench a culture of discipline.

Functional Excellence
  • Adhere to functional policies, standards, guidelines, procedures, end- to-end processes, tools, templates etc.
  • Assist in standardising, simplifying and speeding-up functional processes, eliminating duplication/bureaucracy
  • Apply functional best practices, promote sharing of best practices/ knowledge
  • Assist in the execution of functional excellence initiatives
  • Plan activities for data gathering and capturing to ensure reporting deliverables and timelines are met.

Internal Business Processes
  • Identify performance improvement opportunities for data clean up
  • Support SCM personnel with information requests as and when required.
  • Effectively communicate with stakeholders that require to provide information for data collation and capturing.

Master Data Management
  • Identify conflicting information and duplications gathered and ensure corrective action is taken before collation, capturing and report preparation.
  • Maintain source data and reports on relevant systems in a structured easy to access way.

People Management
  • Performance management: Adhere to performance management procedures
  • Culture/functional climate: Uphold the Company culture and values within the function. Foster effective teamwork and unity

Safe and Healthy Work Environment
  • Maintain and ensure a healthy environment, safe operations practices, ensuring compliance with all applicable Safety Health and Environmental (SHE) policies procedures in line with set standards
  • Encourage a culture that focuses on safety in all operations

Systems Infrastructure and Enablement
  • Participate in implementation of information management technology and infrastructure support Supply Chain Management (SCM) reporting and analytics.
  • Identify and resolve escalated problems, participate in development of solutions towards optimizing applicable processes/systems
