Market Related Salary Our client, a well-established accounting firm in Knysna, WC, is actively seeking a dynamic and detail-oriented individual to fill the role of Office Manager and Trust Administrator. This multifaceted position plays a crucial part in overseeing the efficient operation of office while concurrently managing trust administration responsibilities. We are in search of an organized, proactive, and adaptable individual capable of handling diverse tasks with professionalism. Requirements: Grade 12 / Matric
Proven experience in office and people management, preferably in a professional service (medical, legal) or accounting environment
Strong organizational skills, ability to manage multiple tasks and priorities
Excellent written and verbal communication skills with a professional and approachable demeanor
Proficiency in office software, including Microsoft Office Suite and accounting software
Knowledge of trust administration regulations is advantageous
Attention to detail and commitment to accuracy
Problem-solving abilities and adaptability to changing requirements
Team-oriented attitude with the ability to work independently
Capability to handle confidential information appropriately Duties: Office Management:
Oversee day-to-day office operations, including administrative staff supervision, coordination, and onboarding of new clients.
Maintain a well-organized filing system for client records, contracts, and internal documents, ensuring efficient retrieval and storage.
Manage office supplies, equipment, and vendor relationships for a well-maintained and fully functional workspace.
Coordinate office maintenance, repairs, and cleanliness to create a conducive and professional work environment.
Serve as a point of contact for internal and external communications, ensuring timely and courteous interactions. Director Support Role:
Drive the Practice vision, supporting the Directors in the execution of strategic objectives and assisting with ad-hoc projects.
Assist with financial administrative tasks such as client billing, reviews of debtors' age analysis, and maintaining expense reports.
Collaborate with the accounting team to support financial reporting. Trust Administration:
Manage and administer trusts on behalf of clients, ensuring compliance with legal and regulatory requirements.
Maintain accurate trust records, co-ordinate compilation of financial statements, and reporting in accordance with industry standards.
Collaborate with legal and financial teams to ensure proper documentation and execution of trust-related transactions.
Assist clients with trust-related inquiries, providing exceptional service and addressing their needs effectively.
Stay informed about changes in trust laws and regulations, adapting trust administration practices accordingly.
Assist in financial administrative tasks, including invoice tracking, payment processing, and expense reporting.
Coordinate with the accounting department to support financial reporting, budgeting, and reconciliations. Human Resources and Team Support:
Assist in recruiting, onboarding, and training new employees, fostering a collaborative and supportive team environment.
Maintain employee records, leave schedules, and assist in HR-related administrative tasks. Event Coordination:
Coordinate firm-wide events, meetings, and training sessions, handling logistics, scheduling, and communication. Please note that no relocations will be considered for this role.
