Requirements:

  • Proven experience as an Office Coordinator or similar administrative role.
  • Proficiency in office management software (e.g., Microsoft Office Suite, HR software, Asana, Toggl).
  • Strong organizational skills with keen attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to multitask and prioritise tasks effectively.
  • Familiarity with social media platforms is a plus.
  • A proactive and self-motivated approach to work.
Responsibilities and expectations but not limited to:
  • Maintain supplies of stationery and equipment: Keep track of office supplies, order new ones when necessary, and ensure all team members have the resources they need to excel.
  • Manage filing systems: Organise and maintain physical and digital files for easy access and retrieval.
  • Maintain the condition of the office and arrange for necessary repairs: Ensure the office space is clean, presentable, and functional. Coordinate repairs and maintenance as required.
  • Onboarding of new staff when delegated: Assist with the onboarding process for new team members, helping them acclimate to the company culture and processes.
  • Weekly Reports to General Manager: Prepare and submit regular reports on office-related activities and tasks.
  • Corporate Gifting / Merchandise: Assist in managing corporate gifting and merchandise initiatives.
  • Creating SOPs when instructed and ensuring they stay up to date: Develop and update Standard Operating Procedures (SOPs) to optimize office efficiency and organization.
  • Housekeeping: Oversee cleaning personnel and manage the purchase of office groceries to maintain a tidy and inviting workplace.
  • Astrow, Hours and staff attendance: Monitor staff attendance, update HR software (Astrow).
  • Post IG stories and assist with social media admin: Support our social media team by posting Instagram stories and helping with social media administrative tasks when needed.
  • Assist with Social Media Competitions: Collaborate with the marketing team in organising social media competitions and sending of POS materials.
  • Petty Cash Management: Handle petty cash transactions and maintain accurate records.
  • IT Ticket Management and liaison to all IT suppliers: Act as a liaison between the team and IT suppliers, managing IT-related support tickets.
  • Receptionist for visitors at the studio: Welcome and assist visitors, clients, and partners when they arrive at the studio.
  • Maintain Client Brand Books: Keep our clientxe2x80x99s Brand Books updated with the latest events, campaigns, articles, and POS materials.
  • Assists with Health and Safety Administration: Support the Health and Safety administration process as needed.
  • Quoting and Invoicing: Creating Quotes and Invoices as delegated.
