Job Description

We are looking for a well-organised and proactive Office Assistant Real Estate to join our dynamic team in the property and rental industry. The ideal candidate will support daily administrative operations, assist clients and tenants, coordinate maintenance and property processes, and ensure smooth office functioning. This role is perfect for someone who thrives in a fast-paced environment and enjoys engaging with people and details alike.
Key Responsibilities:
1. Administrative Support

  • Maintain and update property listings and rental management systems.
  • Prepare lease agreements, renewals, application packs, and supporting documents.
  • Organise and maintain tenant and landlord records, both digital and hard copy.
  • Assist with lease terminations, deposits, and handover processes.
  • File and archive legal, compliance, and rental documentation.
2. Client & Communication Support
  • Serve as first point of contact for client, tenant, and contractor enquiries (calls, emails, walk-ins).
  • Schedule property viewings and inspections with prospective tenants.
  • Manage key registers, handovers, and lock changes.
  • Follow up with tenants and landlords on outstanding documentation or queries.
3. Finance & Rental Admin
  • Process monthly rental payments and generate receipts.
  • Assist with capturing utility bills, invoices, and petty cash claims.
  • Support credit control by following up on arrears or non-payments.
  • Assist the finance team with monthly reporting and rent roll updates.
4. Maintenance Coordination
  • Log and monitor maintenance requests, ensuring timely resolution.
  • Liaise with suppliers, contractors, and tenants regarding access and repairs.
  • Track job cards, quotes, invoices and confirm job completion.
5. Marketing & Listings
  • Upload and update property listings on company website and portals.
  • Coordinate property photography and ensure marketing materials are current.
  • Support social media listings and promotional activities when needed.
Candidate Requirements:
  • Matric (Grade 12) required; a qualification in Business Administration or Property Management is advantageous.
  • 13 years of administrative experience (preferably in real estate, rentals, or customer service).
  • Strong communication and interpersonal skills (written and verbal).
  • Highly organised with attention to detail and time management.
  • Computer literate (MS Office Suite, rental/property management software is a plus).
  • Able to handle confidential information professionally.
  • Positive, adaptable and service-driven attitude.
  • Valid drivers license.
