  • Log approved leave and support recruitment admin
  • Process contract of any new employee with HR & Accounts Manager
  • Assisting to cover the HR manager duties when the HR manager is on leave or unavailable
Administration & Compliance
  • Allocate driving offences using driver logbooks, forward to Accounts Manager for payment/deductions, and notify Operations Manager
  • Manage staff uniform and stores ordering via FileMaker, maintaining stock levels
  • Ensure all license agreements (FileMaker, PaySpace, ITEC, Vox Telecom, DS Telecom, Vodacom, Toyota Forklift, etc.) are up to date
  • Review property lease agreements 3 months before renewal/cancellation and report to Operations Manager and Group Director
  • Ensure fire equipment is serviced, and premises comply with standards
  • Handle vehicle documentation, insurance claims, renewals, and procedures
  • Verify company advertising schedules and report discrepancies to Operations Manager
  • Track sales team social marketing activity, maintaining a weekly ad ledger for the Operations Manager
Accounting & Operational Support
  • Reconcile all transport and freight account invoices with waybills
  • Checking delivery invoicing and ensuring billing is correct as based on distance travelled, report all discrepancies to Operations Manager
  • Daily checks of invoice capturing for all companies, checking invoices are completed correctly, correct info is captured, payment type, images captured etc.
REQUIREMENTS:
  • Experience in a similar administrative or office support role
  • Proficient in Microsoft Office (Word, Excel, Outlook, etc.)
  • Comfortable and experienced working with Apple Mac OS systems (essential)
  • Detail-oriented organizer with strong communication skills and a proactive, growth-driven mindset
  • Independent team player who takes ownership, presents professionally, and collaborates positively
