Job Description

Consulting company based in Tokai, is looking for an energetic and positive natured individual to be part of their professional team. The desired candidate should have a pleasant personality, as this is also a customer service role. Multitasking skills are essential for this position. You will have a minimum of 3 - 4 years' experience.

As the Office Administrator, you will be the first point of contact for the company and customer service is your top priority. You will welcome guests and greet people who visit the business as well as coordinate front-desk activities, including assisting and distributing correspondence, obtaining customer orders, understanding and interpreting customer requirements and redirecting phone calls.

You will be responsible for but not limited to:

Communication with clients as required

Answering switchboard

Financial Administration

Accounts - Invoicing & Account follow ups (Creditors & Debtors, Statements etc.)

Job cost summaries and reconciliations

Management of supplier invoices and payments

Managing monthly accounts to be paid and advising management of the payment dates

Requesting tax invoices and statements from suppliers

Management of Petty Cash, staff expenses and claims

Ensuring that all staff adhere to company procedures relating to vehicle and equipment bookings etc. and arranging vehicle maintenance as required (servicing, panel beating etc.)

Assist all departments with administration duties including placement of newspaper adverts etc.

Printing and binding documents if required

Management of office consumables and kitchen area and associated supplies and to ensure kitchen cleanliness

Scanning relevant hard copy documents - we operate a paperless system

Company travel arrangements, accommodation, and flight bookings

Arranging for the courier to various regions

Responsible for the general office maintenance

Diary management

Assisting management as required

Receiving visitors and clients

Clean drivers license and willingness to drive company cars if required. Limited driving is anticipated, and this would be very local.

Education:



Matric

Diploma / Certificate (Office Administration / Personal Assistant / Secretarial)

Highly Computer Literate MS Office & Pastel

Experience from a personal assistant background with finance administration will be adv.

Drivers License and own transport a must

Skills:



Fully bilingual -English and Afrikaans with good communication and interpersonal skills

Solid written and verbal communication skills

Attention to detail

Deadline orientated and time management

Self-motivated and results driven

Ability to multi-task

Ability to work under pressure

Friendly personality
