Henchem Environmental Management Solutions is seeking a detail-oriented, well-organised, professional, and reliable
Office Administrator
to support our sales team. The successful candidate will handle essential administrative and coordination tasks, including customer communication, market research, assisting sales representatives, generating reports, and ensuring smooth day-to-day operations. This role plays a key part in enabling the sales team to focus on client engagement and new business development.
Key responsibilities
Manage sales documentation:
Create and manage sales orders, quotations, and contracts.
Process orders and invoicing:
Handle purchase orders, verify customer information, issue invoices, and process deliveries.
Data and record management:
Maintain accurate sales data in Skynamo system and ensure company records are up-to-date.
Client and team support:
Answer customer questions, act as a point of contact for order-related queries and assist the sales team with their administrative needs.
Reporting and analysis:
Prepare monthly sales reports and assist with sales forecasting processes.
Receive, process and verify order details on Skynamo
Handle customer queries via phone, email and in person.
Maintain customer records
Provide admin assistance to Sales Managers and Reps.
Daily sales calls to existing customers.
Assist Sales Managers with market research.
Liase with processing team of any special instructions related to an order.
Skills and qualifications
Administrative skills:
Strong organizational, time management, and communication skills are essential.
Technical proficiency:
Experience with Skynamo and Pastel software
Sales knowledge:
A foundational understanding of sales processes and procedures is beneficial.
Education and experience:
A high school diploma is required, with a degree in business administration being a plus. Prior experience in a sales support or administrative role is required.
Fluent communication - verbally and writing in Afrikaans and English is a must.
