To provide administrative and customer service support to ensure smooth day-to-day operations within the cleaning chemical manufacturing company. The role involves processing sales orders, handling telephonic inquiries, general office administration, and logging customer complaints efficiently and professionally.
Key Responsibilities
1. Sales Order Processing
Receive, verify, and process sales orders accurately in the company system.
Liaise with the sales and production teams to ensure timely order fulfilment.
Prepare order confirmations, delivery notes, and invoices.
2. Customer Communication & Support
Handle incoming telephone calls and respond to customer inquiries professionally.
Provide product information, pricing, and availability details to customers.
Log and track customer complaints, ensuring they are forwarded to the relevant department for resolution.
3. Administration
Maintain and update customer records in the database.
Perform general office duties such as filing, scanning, and data capturing.
Assist with preparing reports, correspondence, and meeting documentation.
4. Complaints Management
Accurately record customer complaints in the company's complaint log.
Coordinate with Quality Control and relevant teams to investigate and resolve issues.
Provide feedback to customers on complaint status and resolution timelines.
5. Support to Management
Assist in compiling sales and customer service performance reports.
Support stock control by coordinating with warehouse staff regarding order status.
Ensure compliance with company procedures, including quality and safety standards.
Requirements
Education & Qualifications
Grade 12 (Matric) or equivalent.
Administrative or customer service qualification (advantageous).
Office Administration (NQF Level 4-6)
Experience
Minimum 2 years in an administrative or sales support role, preferably in manufacturing or FMCG.
Experience in cleaning chemicals, manufacturing, or related industry (advantageous).
Skills & Competencies
Strong administrative and organisational skills.
Excellent telephone etiquette and communication skills.
Proficiency in MS Office (Word, Excel, Outlook).
Ability to work under pressure and meet deadlines.
Attention to detail and accuracy in data capturing.
