Job Description



We are looking for a highly organized, proactive and detail-oriented Senior Administrative Assistant to join our HQ Operations team. This position plays a critical supporting role across administrative, compliance, vendor, and store project functions, enabling smooth operations between the HQ and all retail locations.

Key Responsibilities:



HQ Office Administration

Manage day-to-day office and warehouse facility services.

Oversee compliance processes and documentation for head office and warehouse environments.

Coordinate staff support activities and team-building events to promote a positive and efficient workplace.

Store Administrative Support

Oversee service and equipment for all retail locations.

Provide ongoing administrative support to stores including monthly reporting and issue resolution.

Liaise with mall/centre management to resolve facility or operational service issues.

New Store Project Coordination

Assist in planning and coordinating new store construction and operational compliance.

Support application and installation of store services (e.g. internet, security, pest control).

Support budgeting and project tasks related to store admin operations.

Service Supplier Management

Maintain and regularly update the HQ and store service supplier database.

Source and assess new service providers, ensuring quality and cost-effectiveness.

Assist in admin expense tracking and reporting across all service categories.

Compliance Oversight

Manage and track certification and compliance schedules across all locations.

Assist with submission of regulatory applications and documentation.

Coordinate internal training to ensure stores are aligned with compliance requirements.

Requirements



Minimum 3-5 years experience in office or retail administration, preferably in a multi-site environment.

Strong project coordination and vendor management skills.

Excellent written and verbal communication skills, with ability to liaise confidently across departments, suppliers, and mall landlords.

Proven ability to work collaboratively in a fast-paced environment and adapt to changing needs.

Well-developed problem-solving and time management abilities.

High attention to detail and responsibility in handling documentation and compliance matters.

Proficient in Microsoft Office Suite (Excel, Word, Outlook); experience with project/task tracking tools is advantageous.

Fluency in English; additional South African languages a plus.
