As the first point of contact for late-arriving and early-departing guests, the Night Receptionist is responsible for delivering a warm welcome, efficient check-in/out processes, and comprehensive support throughout the night. The role includes managing reservations, responding to guest queries and requests, coordinating with other departments, and supporting night audit and security operations. The ideal candidate has a passion for guest service, excellent communication skills, and the ability to work independently during night hours. This role is critical to ensuring a seamless and memorable experience for guests, even outside of typical service hours.
Minimum Requirements
Fluent in English (verbal and written); additional languages are an advantage.
Professional appearance and excellent interpersonal skills.
Strong mathematical and administrative abilities.
Proficient in MS Office (Excel, Word) and hotel software (preferably OPERA).
Outstanding organizational and time management skills.
Ability to remain calm and act decisively under pressure.
Customer-service oriented, with a proactive and solution-focused mindset.
Comfortable working night shifts and independently managing responsibilities.
Duties and Responsibilities
Handle all late check-ins and early check-outs in a courteous and professional manner.
Complete the "End of Day" procedures in the hotel's Property Management System (PMS) and generate financial reports.
Manage online and phone reservations, in collaboration with the central reservations team.
Verify guest payment methods and process payments in line with check-in/out SOPs.
Collect and record all required guest information (ID/passport copy, contact details, payment data, nationality, etc.).
Review and resolve outstanding charges or financial discrepancies.
Allocate rooms for arriving guests, particularly during morning hours prior to team handovers.
Serve as the primary guest relations contact at night, addressing complaints and escalating to relevant HODs when needed.
Coordinate with housekeeping to ensure rooms meet guest expectations and manage special room requests.
Confirm group reservations and arrange tailored services for VIP guests.
Promote and upsell additional hotel services and amenities.
Maintain accurate and updated records of reservations, payments, and guest profiles.
Organize guest transport and logistics services when requested.
Assist the Night Auditor with audit-related tasks and reporting.
Review and summarize guest feedback/reviews for inclusion in morning briefing documents.
Respond to and fulfill all after-hours guest requests.
* Work closely with security to ensure the safety and integrity of the premises during night hours.
