Location: Nantes Estate, Paarl, South Africa Reports to: Estate Manager / Marketing & Finance Manager Employment Type: Part-time 1 December 2025 - 31 May 2026

(to be reviewed and possibly extended to a permanent position) Please note that the salary will be discussed in the interview.

Role Overview



We are seeking a dynamic, well-organized, and self-motivated individual to join our team as an Event & Venue Coordinator. This hybrid role combines the planning and execution of high-end events hosted by Nantes Estate and also coordinating external events held at Nantes Estate, with driving sales for future events and upselling current events.

The ideal candidate will be a confi dent communicator, assertive and customer-focused, detail-oriented, and passionate about hospitality, events, and sales.

Key Responsibilities



Event Coordination (Nantes Estate)

? Together with the Event planners and the Client's event co-ordinator, Plan, coordinate, and execute weddings, private functions, corporate events, and styled shoots at Nantes Estate.

? Manage event logistics with external event planners, including venue setup, decor coordination, catering liaison, scheduling, and supplier coordination.
? Conduct site visits, client consultations, and pre-event meetings to understand client needs and expectations.

? Develop and maintain relationships with preferred vendors and service providers.

? Ensure events are delivered seamlessly, on time, within budget, and at the highest standard of excellence.

? Oversee event staff and service teams on event days to ensure smooth operations.

? Stock take

? SAGE

? Check on Property maintenance and venue control

? Marketing & Media coverage at each event for Nantes Marketing purpose

? Videos and photos

? Interviews

? Social Media knowledge and experience for in-the-moment content creation

? Uphold Nantes Estate Policy (Do's and Don'ts)

? Play the Host at Nantes Estate events, and external events held at Nantes Estate

Skills & Competencies

? Strong organizational and time management skills

? Excellent communication and interpersonal abilities

? Confi dent public speaking and sales presentation skills

? Attention to detail with a fl air for creative event styling

? Ability to multitask and work under pressure

? Strong negotiation and relationship-building skills

? Tech-savvy (MS Office, Social Media, CRM systems)

Qualifi cations & Experience

? Diploma or degree in Events Management, Hospitality, Marketing, or related fi eld (advantageous)

? Minimum 2-3 years' experience in event planning and/or sales

? Valid driver's license and own reliable transport

? Knowledge of the local hospitality, food & beverage market is a plus

Work Arrangement:



? This position is primarily remote. The Event and Venue Coordinator will work from home for planning, client communication, and administrative duties, and will attend in-person events and key setup or coordination days, venue tours, and coordination meetings, as required.
