An Event Coordinator helps organisations enhance their brand image by supervising events to ensure that they achieve the set objectives. Event Coordinator must organise and oversee their events so that the outcome will have the desired impact on their target audience. Event Coordinators plan budgets, manage logistics and security, set deadlines for teams and coordinate post-event operations. They meet with other departments to determine the details and goals of events. Event Coordinators ensure that vendors deliver on time and the event venue is ready.
DUTIES AND RESPONSIBILITIES
Communication and collaboration
Represent the company in all forms of communication, maintaining good working relationships and networks with internal and external stakeholders, external suppliers, and clients.
Respond to and follow up on all enquiries by email, telephone and personal visits as required. o Responsibility for building and maintaining positive relationships with internal and external stakeholders.
Demonstrate a strong customer service focus and quality communication and output in all interactions with key stakeholders and external contacts
Events Management
Develop and execute detailed event plans, timelines, and budgets, ensuring all aspects of the event are well-coordinated and executed smoothly. Product launched, exhibitions and photo shoots.
In-depth knowledge of public relations, hospitality management, project management and product development.

Coordinate all logistical aspects of the event, including venue setup, signage, transportation, accommodations, and guest registration.
Oversee event operations on the day of the event, including managing staff, volunteers, and vendors to ensure everything runs according to plan and troubleshoot any issues that may arise
Serve as the main point of contact for clients, vendors, and attendees, providing timely and professional communication and support throughout the planning and execution process.
Conduct post-event evaluations and analysis to assess the success of the event, gather feedback from clients and attendees, and identify areas for improvement.
Stay up-to-date with industry trends, best practices, and new technologies in event planning and management.
EXPERIENCE, SKILLS AND QUALIFICATIONS
National Certificate NQF Level 4 / Grade 12
Bachelor's degree in Event Management, Hospitality, Marketing, or related field NQF 7
4-7 years of experience in a similar role
Proven experience in event planning and coordination, with a strong portfolio of successful events.
Excellent organisational and time-management skills, with the ability to multitask and prioritise in a fast-paced environment.
Strong interpersonal and communication skills, with the ability to build relationships and collaborate effectively with clients, vendors, and team members.
Attention to detail and a commitment to delivering high-quality, memorable events.
Proficiency in event management software and tools (e.g., event planning software and project management tools) is a plus.
Flexibility to work evenings, weekends, and holidays as needed, depending on event schedules.
Certification in event planning or hospitality management is preferred.
Creativity and an ability to produce innovative and original ideas.
Excellent teamwork skills.
The ability to manage and allocate budgets.
Excellent written and verbal communication skills
Time and project management skills, including the ability to work on multiple projects at the same time.
An ability to think strategically and come up with campaigns.
