Job Description


PURPOSE OF THE POSITION

The Junior HR Generalist is responsible for general HR office and payroll administration and any other related tasks.

SCOPE

The Junior HR Generalist reports to the Human Resources Manager, and is responsible for filing and archiving of all internal and external payroll data, the printing and sorting of external BC/ HOA (Body Corporate/ Home Owners Associations) pay slips and reports, providing assistance to the HR Manager and Payroll Officer regarding payroll services to the BC/ HOAs managed by ANGOR, as well as following up on take on information from internal departments. These responsibilities include obtaining input and relevant information from PS and Trustees/ Directors, communicating such to the HR Manager and Payroll Officer, processing authorised data and input and distributing reports and pay slips. The Junior HR Generalist also assists with Recruitment related administration across the Intigor Group

Maintain BC/ HOA payroll records

Obtain relevant BC/ HOA company loading information from PS and/ or Trustees/ Directors to load new BC/ HOA on VIP

Obtain relevant input to load new employees onto BC/ HOA company on VIP

Obtain relevant input to terminate employees from BC/ HOA company on VIP

Monthly BC/ HOA reporting

Printing of remuneration lists for confirmation and approval by PS and/ or Trustees/ Directors

Printing and manual/ electronic distribution of monthly BC/ HOA pay slips

Printing and archiving of monthly BC/ HOA payroll reports and signature lists where appropriate

Printing and archiving of pension/ provident fund reports for PS to make payment

Printing and archiving of garnishee reports for PS to make payment

BC/ HOA Statutory obligations

Verifying whether BC/ HOA is registered with relevant statutory bodies: PAYE, UIF, WCA

Sourcing and following up on relevant documentation to enable Payroll Officer to register BC/ HOA on relevant statutory bodies

Monthly U-Filing submissions to Dept Labour

Monthly E-Filing submissions to SARS

Mid-Year and Annual IRP5 submissions to SARS

Administer annual COID submissions obo Schemes

BC/ HOA Leave records

Maintain leave records for BC/ HOA employees where requested

BC/ HOA Recordkeeping and archiving

Receiving payroll information and files from new buildings upon take-on

Maintaining BC/ HOA records

Archiving BC/ HOA records

Retrieving of archived records where appropriate

Transferring of complete file upon handover of building to alternate Managing Agent

Internal/ Company payroll recordkeeping and archiving

MINIMUM QUALIFICATION

The incumbent must have completed a minimum of Grade 12/ Standard 10 (Matric) and have an excellent command of English as written and spoken language. A relevant Tertiary Qualification will be advantageous. Previous payroll experience, specifically on PaySpace Payroll will be advantageous. Must have basic knowledge of Basic Conditions of Employment Act and knowledge of Payroll legislature and recruitment processes.

WORKING CONDITIONS

The incumbent will be based in an open plan office or work remotely, and will be faced with constant interruptions from different role players.

Weekend and/ or after-hours work may be required from time to time. There is a number of deadlines and expected turn- around times within this position, which may cause the incumbent stress. The incumbent is further required to work accurately with a minimum tolerance for data entry errors. The incumbent will be required to deal with a wide variety of personalities on various matters.
