Job Description


Responsibilities:
HR Administration:

  • Assisting the HR Business Partner with all HR-related administration and documentation, which involves inter alia: HR Matters, Leave, Payroll, Recruitment, Employee life cycle
  • Capture all new employees and terminated employees
  • Capture any employee status change on HR/Payroll software
Performance Management
  • Request job roles from all managers or team leads for their team members
  • Send out annual reminders of when the performance management evaluations will take place
  • File Performance documentation in employee files
  • Ensure that the KPAs and KPIs are all update prior Performance evaluation
  • Set up & conduct all probation & review sessions with employees
  • Capture and document review sessions
Recruitment and Onboarding
  • In close collaboration with the HR Business Partner, provide support to Selection and Recruitment activities including publishing vacancies on job boards, screening applications, representing HR during interviews depending on the level of the positions advertised, preparing selection recommendations, issuing offer letters, organise credit & criminal checks, conduct reference checks, etc.
HR Projects and Initiatives:
  • Provide support in HR projects, such as employee engagement surveys, templates updates, or HR process improvements
  • Assist in conducting research and data analysis to support HR initiatives
  • Contribute to the development and implementation of employee engagement activities or initiatives
  • Participate in cross-functional projects and collaborate with other departments as needed
Reporting
  • Assist with compiling HR-related reports for EXCO
Induction & Exit Process Coordination
  • Understanding and take lead on end-to-end process of recruitment, induction & exit processes
Training and Development
  • In close collaboration with the HR BP and the HR focal points, provide support to Learning and Development activities including liaising with external partners to organise workshops, supporting logistics aspects and administering
Industrial Relations
  • Understanding of the Labour Laws and BCAE and keeping up to date on any acts changes, updates
  • Understanding of the company policies
  • Ability to conduct and mediate grievances, action disciplinary and file in relevant employee file
  • Represent the company during CCMA cases
Compliance:
  • SDL submissions (annually)
  • EEA Reporting and related administration
Policy development, Refinement and Maintenance
  • Provide coordination support throughout the transformation exercise including in collecting and centralizing documentation and in preparing official correspondence
  • In collaboration with other HR colleagues, identify and analyse areas for improvement related to procedures and work processes as well as recurrent issues related to the application of HR regulations, and make recommendations for improvement purposes
Culture Agent
  • Together with the HR Business Partner, take a leading role in a number of welfare and diversity-related initiatives
Requirements:
  • Bachelors degree in human resources, Accounting, Business Administration, or related field (or equivalent experience)
  • Previous experience in payroll processing or related HR role
  • Knowledge of payroll software and systems
  • Understanding of relevant labour laws, tax regulations, and compliance requirements
  • Proficient in using Microsoft Office Suite (Excel, Word, PowerPoint)
