1. Overview of the Role
Oil Drop Western Cape is a fast-growing and busy operation supplying cooking oil, managing used oil collections, grease trap services, and supporting a diverse customer base. We are looking for a reliable
Junior Admin Assistant
to support daily administrative, stock, and finance functions.
The ideal candidate is organised, proactive, detail-oriented, and able to work in a fast-paced environment with minimal supervision.
2. Key Responsibilities
A. Administrative Support
Handle daily office administration and filing
Manage incoming calls, WhatsApp messages, and email queries
Assist with HR admin (leave forms, timesheets, staff documents)
Maintain customer and supplier information lists
Prepare and send customer statements and invoices
Assist with capturing documents into systems (Sage, Excel, etc.)
B. Stock & Operations Support
Assist in
managing floor stock levels
(oil stock, packaging, consumables)
Perform daily/weekly stock counts and report variances
Prepare pick-lists for deliveries
Update stock sheets after deliveries, returns, and collections
Coordinate with drivers and warehouse staff to ensure accurate load-outs
C. Finance & Accounts Support
Capture supplier invoices and customer payments into Sage
Reconcile petty cash and fuel slips from delivery teams
Assist with month-end reconciliations (stock, bank, supplier accounts)
Follow up on outstanding customer payments professionally
Prepare basic costing or sales summaries when required
D. Customer Service
Provide friendly and professional support to walk-in customers
Confirm orders, delivery times, and product availability
Receive customer feedback and escalate issues as needed
Ensure high levels of customer satisfaction and communication
E. General Office Duties
Monitor stationery and office supply levels
Support management with ad-hoc requests
3. Requirements Essential
Matric certificate
1-2 years admin or junior accounts experience
Computer literate (Excel, email, WhatsApp Business, basic data entry)
Strong communication skills
High attention to detail
Good organisational and time-management skills
Able to work in a busy, fast-moving environment
Trustworthy and responsible with cash and financial documents
Advantageous
Experience using
Sage Accounting
Familiarity with stock management or warehouse environments
Experience in a small business setting
Afrikaans & English speaking
